Regular domestic travel required Position Overview We are seeking a highly organized, resourceful, and motivated Executive Business & Operations Associate to provide direct support to a senior business executive across a variety of professional, entrepreneurial, and day-to-day activities. This is an ideal opportunity for a current or recent college graduate who is ambitious, adaptable, comfortable taking ownership, and interested in gaining broad exposure to business operations, client engagements, marketing, contracts, travel planning, and executive decision-making. Unlike a traditional administrative assistant position, this role will work closely with the executive on a wide variety of initiatives. Responsibilities may range from preparing for client meetings and researching business opportunities to coordinating travel, developing marketing materials, managing social media, booking venues, handling correspondence, and solving whatever operational needs arise during the day. The right candidate will be someone who enjoys variety, learns quickly, communicates professionally, and can be trusted to take a task from initial direction through completion. Key Responsibilities Executive & Business Support Provide day-to-day operational and administrative support to the executive. Manage priorities, tasks, follow-ups, reminders, and business-related logistics. Draft and refine professional emails, correspondence, presentations, and other business communications. Conduct research on companies, industries, contracts, vendors, business opportunities, products, and other topics as needed. Assist with reviewing and organizing contracts, proposals, agreements, and business documents. Prepare meeting materials and help coordinate follow-up actions after meetings. Handle confidential and sensitive business information with discretion. Travel & Logistics Research and coordinate domestic and occasional international travel. Book flights, hotels, rental vehicles, transportation, restaurants, and other travel arrangements. Develop detailed itineraries and proactively manage travel logistics. Travel with the executive to client sites and business meetings throughout the United States when required. Help coordinate meetings, dinners, conferences, events, and venue bookings. Adjust travel arrangements and schedules quickly when plans change. Marketing, Brand & Social Media Assist with developing and maintaining business and personal professional brands. Help create marketing concepts, presentations, written content, and promotional materials. Draft, schedule, and manage professional social media posts. Research industry trends and identify potential content and marketing opportunities. Coordinate with designers, vendors, photographers, agencies, or other external resources when necessary. Research & Special Projects Conduct online and market research and summarize findings into clear recommendations. Compare vendors, services, products, pricing, and potential business solutions. Assist with sourcing and purchasing business-related products and services. Support new business initiatives and special projects from research through execution. Help identify more efficient ways to organize recurring tasks and business processes. General & Personal Logistics Assist with occasional errands and logistical needs that support the executive's workday, including mail/package pickup and drop-off, purchases, returns, document delivery, and similar tasks. Coordinate appointments, reservations, venues, and other arrangements. Handle miscellaneous tasks and unexpected needs that arise in a fast-moving executive environment. Qualifications Current college student nearing graduation or recent bachelor's degree graduate. Strong written and verbal communication skills. Excellent organization and attention to detail. Professional demeanor and good judgment. Strong research and problem-solving abilities. Comfortable working independently and taking ownership of assignments. Proficient with Microsoft Office or Google Workspace and comfortable learning new technology and AI productivity tools. Comfortable using social media and digital platforms in a professional environment. Ability to manage multiple priorities and adapt quickly when plans change. Valid driver's license and reliable transportation. Ability and willingness to travel regularly throughout the United States. Flexibility to occasionally work outside normal business hours, including evenings and weekends when travel, client engagements, or business needs require it. Ideal Candidate The ideal candidate is smart, dependable, resourceful, and highly organized. You do not need years of professional experience, but you should be someone who takes initiative and figures things out. You should be comfortable receiving an objective rather than a detailed set of instructions. For example, instead of simply being told which hotel to book, you may be asked to research the best options near a client location, compare them, make a recommendation, and then coordinate the reservation. This position is particularly well suited for someone interested in business, consulting, entrepreneurship, marketing, operations, or eventually running a business of their own. Because the role works directly alongside a senior executive, the individual will receive exposure to client relationships, business development, negotiations, contracts, travel, operations, marketing, and executive-level decision-making. Schedule & Travel Expectations The normal work schedule is approximately 9:00 AM-5:00 PM, Monday through Friday. However, this is an executive-support position, and some flexibility is required. Client meetings, business travel, events, or unexpected needs may occasionally require early mornings, evenings, or weekend availability. The position will also involve regular travel to client and business locations across the United States. Depending on the trip, the Associate may accompany the executive for meetings, help manage logistics while traveling, and provide on-site business support.
