Our Team, Your Impact The Executive Assistant, Global Operations Leadership provides high-quality administrative support to SVP and VP-level leaders, ensuring smooth day-to-day operations and effective coordination across the organization. This role manages a broad range of administrative, scheduling, communication, travel, and operational activities, requiring strong planning, organization, discretion, and attention to detail. This position is fully remote; however, candidates must reside in the Eastern or Central Time Zone to support executive and stakeholder collaboration during core business hours. How You'll Spend Your Day Key Responsibilities
- Partner closely with TGO leaders, managers, staff, and administrative colleagues to support efficient administrative operations across the team.
- Manage priorities, deadlines, and daily workflow with strong organization, follow-through, and sound judgment.
- Coordinate complex calendars, including team meetings, leadership 1:1s, town halls, department meetings, events, and internal conferences.
- Respond to emails and other communications in a timely, professional, and accurate manner, escalating matters as appropriate.
- Provide proactive administrative support to Senior Vice President and/or Vice President-level leaders.
- Prepare and edit professional written materials, including emails, spreadsheets, presentations, reports, and other business documents.
- Manage purchase order activities in Ariba and support timely invoice submission, tracking, and payment follow-up.
- Coordinate domestic and international travel arrangements accurately and efficiently, ensuring all travel details are reflected in calendars.
- Support expense management, including monitoring expenditures and preparing expense reports in Concur as needed.
- Serve as a professional, reliable, and knowledgeable point of contact for internal and external stakeholders.
- Work independently to complete routine department activities and support special projects as assigned. Your Skills and Experience Qualifications
- Self-starter with a strong sense of ownership, accountability, and the ability to drive tasks and projects through to completion.
- Highly detail-oriented, with strong interpersonal skills and the ability to ensure accurate and effective flow of information.
- Excellent organizational, prioritization, follow-up, and time management skills.
- Proven ability to manage multiple priorities, adapt to changing needs, and adjust plans when required.
- Strong knowledge of office administration practices and proficiency with standard office equipment and tools.
- Experience coordinating domestic and international travel, including strong understanding of global time zones and scheduling complexity.
- Proficiency in Microsoft Office applications, including Outlook, Excel, PowerPoint, and Word.
- Demonstrated ability to maintain the highest levels of confidentiality, integrity, professionalism, and discretion.
- Strong written and verbal communication skills, with the ability to interact effectively with all levels of the organization.
- Strong English proficiency, including the ability to communicate clearly and professionally in both written and verbal English.
- Experience coordinating meetings, events, and logistics in a fast-paced, global environment preferred. Education and Experience
- High school diploma/GED required; associate degree preferred.
- 5+ years of related administrative experience required; experience in a pharmaceutical or global corporate environment preferred.
