Role Description This is a full-time, hybrid role based in Los Angeles, CA for an Executive Assistant / Production Coordinator. The role involves providing executive administrative support, managing expense reports, coordinating production schedules, running personal errands for the CEO, booking travel, and ensuring smooth day-to-day operations. The candidate will also communicate with various stakeholders and support high-level executives in achieving organizational goals effectively. Familiarity with live entertainment and working with multiple company structures is highly desirable.
Responsibilities:
Office Support Coordinate complex scheduling and extensive calendar management Scheduling meetings for the CEO and the work team as needed. Manage, coordinate, and arrange senior executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination. Coordinate deliveries and vendor scheduling. Travel to exhibit openings and provide administrative and operational support.Mailings:
Receive/send mail, packages, and deliveries. Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business Other tasks as assigned.Personal Support :
Restaurant reservations Shopping and other personal errands Medical appointments Other tasks as assigned. Our office is in the Mid-Wilshire area, and applicants will need to come into the office at least once per week to pick up/sort mail for business purposes. You MUST be local to Los Angeles, preferably within reasonable distance from the office. You will primarily be working remotely. We may have in-person meetings on an as-needed basis, but this will likely be a rare occurrence. Qualifications Proficiency in Executive Administrative Assistance and Executive Support Experience in handling Expense Reports and Administrative Assistance tasks Strong Communication and organizational skills Ability to prioritize tasks effectively and handle multiple responsibilities in a fast-paced environment Strong attention to detail and problem-solving skills Proficiency in MS Office Suite and other productivity tools Familiarity with production coordination or event planning is a plus. Bachelor's degree in business administration, communications, or a related field preferredJob Type:
