1099 Independent Contractor About the Opportunity Bitcot Technologies is seeking a highly organized, proactive, and execution-focused Project Coordinator & Executive Assistant to support a large-scale enterprise healthcare initiative in the United States. This role is ideal for someone who enjoys bringing structure to complex work, translating ideas into action, and supporting senior leaders by ensuring projects, meetings, and communications move forward efficiently. The successful candidate will thrive in fast-paced environments, work independently with minimal supervision, and confidently manage multiple priorities while maintaining exceptional attention to detail. This is a hybrid position, and candidates must reside within 100 miles of Rochester, Minnesota. Key Responsibilities Translate meeting discussions, notes, and concepts into clear, professional deliverables including presentations, executive summaries, FAQs, meeting minutes, email communications, and briefing documents. Coordinate multiple workstreams while tracking action items, decisions, risks, dependencies, and follow-up activities. Develop and maintain organized documentation repositories, ensuring materials are current, properly version-controlled, and easily accessible. Prepare agendas, meeting materials, and supporting documentation for leadership meetings and stakeholder discussions. Capture meeting outcomes, document key decisions, and distribute action items to ensure timely execution. Manage Q&A logs, issue trackers, and information requests while coordinating responses across cross-functional teams. Support leadership visits, vendor meetings, workshops, and onsite stakeholder engagements by coordinating logistics and preparing necessary materials. Anticipate project needs and proactively identify opportunities to improve coordination, communication, and execution. Work effectively in evolving environments by asking thoughtful clarifying questions and adapting quickly to changing priorities. Produce high-quality deliverables that enable leadership to review and refine rather than build materials from scratch. Collaborate with internal teams, business stakeholders, and external partners to ensure smooth project execution. Required Qualifications Bachelor's degree in Business Administration, Project Management, Healthcare Administration, Communications, or a related discipline. 5+ years of experience in program coordination, project coordination, executive support, operations, or similar roles. Excellent written and verbal communication skills with exceptional document drafting abilities. Demonstrated experience creating executive-ready presentations, reports, meeting summaries, and business documentation. Strong organizational and information management skills with experience maintaining structured documentation repositories. Ability to independently manage multiple priorities with minimal supervision. Experience coordinating meetings, tracking deliverables, and following through on action items. Strong proficiency in Microsoft Office Suite (PowerPoint, Word, Excel, Outlook) and collaboration platforms such as Microsoft Teams or Zoom. Excellent problem-solving skills with the ability to work comfortably in ambiguous and fast-changing environments. Strong interpersonal skills with the confidence to communicate professionally across all organizational levels. Preferred Qualifications Experience supporting executive leadership or PMO teams.
