POSITION PURPOSE
This position is responsible for providing a wide range of administrative and general support services. May also serve as the second chair in support of an SVP or higher position. Duties are performed on a largely independent basis. Incumbent helps establish and ensures conformance to the administrative and clerical policies and procedures for the office.JOB DIMENSIONS
: Supervisory Responsibility — N/A Budget Responsibility —N/A PRINCIPAL ACCOUNTABILITIES
1. Ensures office administrative policies and procedures are followed and consistent with those established for the organization 2. Prioritizes the supervisor's time through screening visitors/phone calls, handling routine assignments for his/her concurrence, and scheduling meetings. Provides supporting material and information for all meetings. 3. Processes proprietary/confidential matters and maintains confidentiality. 4. Reviews incoming documents addressed to the supervisor and distributes to staff for handling as appropriate. Tracks and reviews all responses prepared to various individuals and groups both internal and external to TVA. 5. Makes travel arrangements and requests reimbursement of travel expenses. 6. Serves as a project manager on a routine and assignment basis for the completion of a variety of sensitive tasks as determined by the supervisor. 7. Serves as a liaison between the supervisor and his/her direct reports, the Board of Directors, TVA management, and outside contacts. Controls and prioritizes the flow of both internal and external information in the organization using tact, discretion, and discriminating judgment. 8. Prepares and reviews responses in conformance to TVA's and the office's policies and procedures. 9. May provide direction and/or functional supervision to administrative assistants, secretaries, and support positions in the supervisor's organization and other TVA offices as appropriate. Provides performance information on staff as necessary. 10. Serves in emergency operation centers as requested. 11. Performs other duties as assigned.MINIMUM REQUIREMENTS
Education- High School Degree or equivalent is required; post high school education is desirable. Experience
- Should have approximately four or more years experience as Administrative Associate or equivalent. Certification/License, etc.
- Certified Professional Secretary certification is desirable. Knowledge/Skills/Abilities
- Must have a p rofessional demeanor; be highly organized; and have a high level of tact, integrity, and flexibility.
