Reporting directly to the CEO, this role involves a one-on-one working relationship, acting as a liaison to the Board of Directors and senior management teams, coordinating executive outreach and external relations, and managing special projects. The Executive Assistant must be creative and enjoy working in fast-paced environments. The ideal candidate will have the ability to exercise good judgment in various situations, maintain a realistic balance among multiple priorities, demonstrate strong written and verbal communication skills, and possess exceptional administrative and organizational abilities.
RESPONSIBILITIES
Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives; resolve any scheduling issues Manage senior executives' travel logistics and activities, including accommodations, transportation, and meals Schedule all meetings Plan and orchestrate work to ensure that senior executives' priorities are met, organizational goals are achieved, and best practices are upheld Create Power Point presentations for CEO as needed Read and reply to emails received by CEO Ability to draft memos, correspondence and other documents for CEO review in polished professional manner Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance. Manage CEO contacts Use discretion, confidentiality, and good judgment to handle C-Level matters. Liaison between CEO and employees/school stakeholders Generate regular reports and update necessary databases Make and confirm all travel arrangements Manage phone calls and emails with professionalism Respond in a timely fashion to requests Facilitate communication within the school to maximize workflow (e.g. distribute vital information, schedule presentations and plan for needs) Commitment to efficiency, a willingness to seek best practices in oversight of the office Able to troubleshoot challenges Other duties as assigned
REQUIREMENTS
Associate degree minimum; additional degrees or certifications a plus Successful work experience as an executive assistant, administrative assistant or similar role with 5+ years of experience working with C-Level Executives Strong working knowledge of office procedures and protocols Expert note taking abilities Advanced proficiency with computer systems, including high level experience with office management systems, and Microsoft Office suite (Outlook, Excel, Word, and PowerPoint) Familiarity with cloud systems and calendaring software Comfortable using all necessary office equipment, including printers and fax machines Excellent communication skills, written and verbal Commitment to discretion and confidentiality concerning sensitive information Excellent organizational skills, a proactive mindset, and the ability to multitask and prioritize work Ability to be a trusted and loyal employee to the office of CEO Flexible hours as dictated by the needs of business for projects and meetings
