We're a privately held, growing company. As we scale — new projects, new hires, new systems — we're adding a key seat that keeps the owners and the organization running smoothly. The Role You'll work directly for and with the owners of the company. Your job is to protect their time, keep their commitments moving, and build the administrative backbone of a growing business — from meetings and travel to onboarding and the software the team runs on. This is a trusted, high-visibility seat. You'll see deals, hires, and decisions before anyone else does — and you'll be expected to handle all of it with discretion and judgment. What You'll Do Owner Support Own the owners' calendars — schedule, protect, and prioritize; resolve conflicts before they reach the owners Facilitate meetings — build agendas, keep discussions on track, capture decisions and action items, and assign follow-ups so every meeting ends with clear next steps Coordinate travel — book and manage regional and out-of-state trips with clean itineraries and no surprises Track owner commitments — maintain a running list of what the owners have promised, to whom, and by when; nudge relentlessly and kindly Handle confidential matters — offers, compensation, deal terms, and personnel items with complete discretion Talent & Organization Own the company's roles and job descriptions — keep every seat defined, current, and consistent as the org grows Run a structured onboarding program — accounts, equipment, first-week schedules, and role expectations set up so new hires are productive from day one Handle offboarding cleanly — exit process, final pay coordination, equipment recovery, and knowledge transfer Operations & Administration Set up and manage community associations — stand up and administer property-related associations and manage ongoing transitions Track software spend and licensing — own the inventory of every tool and subscription the company pays for, who uses it, what it costs, and when it renews What You'll Bring 3+ years supporting a senior executive, owner, or principal in a fast-moving business Exceptional organization and written communication — clear agendas, clean notes, and follow-ups that land Experience building processes from scratch — onboarding checklists, tracking systems, and documentation that others can actually follow Strong command of Microsoft Office; comfortable picking up new tools (CRM, project management, AI-assisted workflows) quickly Calm under shifting priorities — our days rarely go as planned, and you keep order anyway Proven discretion — you'll know things before they're public, and it stays that way A bias for follow-through — you close loops without being asked twice What We Offer Competitive salary based on experience A seat at the center of a growing company with real influence on how it runs day to day A team that invests in tools, systems, and people Direct access to ownership and leadership To apply, send your resume and a short note on the executive you supported best — and how you made their life easier.
