Executive Assistant Oak & Twine Mc Donald, TN Job Details Full-time From $20 an hour 19 hours ago Qualifications Accounts receivable Pricing Email management Client communication Executive administrative support Account development Client follow-up Attention to detail Phone etiquette Order entry Full Job Description Oak & Twine | Chattanooga, TN Position Overview Oak & Twine is seeking a highly organized, proactive Personal Assistant / Executive Sales Support professional to work closely with Robbie and serve as an extension of his day-to-day sales, client relationship, and business development efforts. This is not a traditional administrative assistant position. The right person will help move opportunities forward, keep client relationships organized, prepare Robbie for meetings, follow through after meetings, and make sure potential revenue does not get lost in the shuffle. The goal of this role is simple: keep Robbie focused on the areas where he is most valuable while making sure the details, follow-ups, presentations, quotes, and opportunities around him continue moving forward. Key ResponsibilitiesClient Presentations & Meeting Support Schedule client meetings, presentations, follow-ups, and sales appointments. Create polished, professional presentations for prospective and existing clients. Maintain and update presentations as products, pricing, branding concepts, and client needs evolve. Attend and help present client presentations alongside Robbie when appropriate. Prepare materials, samples, pricing, and supporting information needed for meetings. Track action items after presentations and ensure appropriate follow-up occurs. Sales Support & Reporting Run and maintain sales reports to help identify opportunities, outstanding quotes, active prospects, and client trends. Build out quotes and proposals based on client needs and Oak & Twine pricing. Keep the CRM accurate and consistently updated with contacts, notes, opportunities, follow-up dates, quotes, and sales activity. Call and follow up with prospective and existing clients. Close the gaps between an initial conversation, quote, presentation, follow-up, and ultimately closing the business. Identify opportunities that have stalled and proactively move them back into the sales process. Executive Support for Robbie Serve as Robbie's right-hand person and second arm within the business , helping manage the details surrounding his sales and business development responsibilities.
This includes:
Managing day-to-day emails and organizing communication from urgent to lower priority. Identifying items requiring Robbie's immediate attention versus those that can be handled independently. Keeping Robbie prepared for upcoming meetings, presentations, quotes, and client conversations. Following through on commitments and next steps coming out of Robbie's meetings. Helping prevent opportunities, deadlines, and client requests from falling through the cracks. Creating better organization around Robbie's sales pipeline and daily priorities. Business Development Pursue new business opportunities alongside Robbie, particularly within the medical and healthcare industries. Develop relationships with medical offices, healthcare organizations, nursing facilities, and other potential scrub clients. Help position Oak & Twine's private-label scrub program as an ongoing apparel solution rather than simply a one-time uniform purchase. Attend occasional networking events, community events, client meetings, and business development opportunities representing Oak & Twine professionally. Maintain consistent communication with promising prospects until a clear decision or next step is reached. Client Apparel & Branding Programs Work with Robbie to develop larger, long-term apparel and merchandise programs for key accounts.
Responsibilities may include:
Building customized apparel programs for companies with ongoing uniform, employee apparel, promotional product, and merchandise needs. Developing product recommendations based on the client's brand, workforce, budget, and goals. Helping create structured apparel programs for larger organizations with multiple departments or locations. Coordinating presentations, samples, pricing, and program rollouts. Potentially building and maintaining client-specific online stores. Identifying opportunities to expand existing accounts into additional products, departments, locations, or recurring programs. Accounts Receivable Maintain visibility into outstanding accounts receivable. Follow up professionally with clients regarding unpaid or overdue invoices. Keep accurate notes regarding payment status and client communication. Flag accounts that require additional attention from ownership. Help establish consistent follow-up so outstanding invoices do not unnecessarily age. What We're Looking For The ideal person for this role is someone who naturally sees what needs to happen next and does not need to be reminded repeatedly to do it.
They should be:
Extremely organized and detail-oriented. Comfortable communicating professionally with business owners, executives, healthcare professionals, and purchasing contacts. Confident on the phone and comfortable following up consistently. Able to create polished presentations and client-facing materials. Comfortable working with CRM systems, spreadsheets, reporting, email, and online platforms. Capable of managing multiple clients and opportunities simultaneously. Comfortable discussing pricing, quotes, apparel, merchandise, and business programs. Professional enough to attend client meetings and networking events as a representative of Oak & Twine. Persistent without being pushy. Able to recognize priorities and distinguish between something that is truly urgent and something that can wait. Comfortable taking ownership of responsibilities rather than waiting for constant direction. What Success Looks Like Success in this position means Robbie has more time to focus on relationships, strategy, closing business, and growing Oak & Twine because the administrative and follow-through pieces surrounding those activities are being handled consistently. Quotes get followed up on. Presentations are ready before they're needed. The CRM actually reflects what is happening. Emails are organized. Prospects don't disappear after the first conversation. Large clients receive thoughtful apparel programs instead of random product recommendations. Medical relationships are actively developed. Outstanding invoices are followed up on. Ultimately, this person should become someone Robbie can confidently say, "Make sure this gets handled," and know that it will.
Pay:
From $20.00 per hour Expected hours: 20.0 - 25.0 per week
