Job Description:
Build Your Future With VOLT Volt is immediately hiring for Executive Assistant in New York, NY. As an Executive Assistant you will The Executive Assistant will be responsible for performing an array of administrative functions requiring confidentiality, initiative and sound and his/her team. You will provide high-level administrative support by periodically providing research, preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, travel arrangements, and scheduling meetings. Additionally, the ability to interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism is crucial to this role. You should demonstrate experience in developing relationships in a highly matrixed organization as well as experience in handling the administrative and executive support related tasks with minimal supervision. You will need to adapt procedures, processes, and techniques to the completion of assignments and in line with the department's activities and goals. Key Responsibilities- Provide administrative support to senior executives (approximately 7 Managing Directors) and their teams
- Maintain executive calendars; schedule meetings and conference calls; proactively manage conflicts
- Coordinate conference room logistics including catering and A/V
- Arrange domestic and international travel; manage travel profiles and approvals
- Manage expense reporting in accordance with Firm and Internal Audit policy
- Prepare and organize meeting and presentation materials Qualifications
- Minimum of 3 years of experience in an Executive or Administrative Assistant role
- Strong organizational and communication skills
- Experience with travel coordination and expense management
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint Multi-tasker, self-starter, good communicator, and pro-active Role is 5 days a week in office.
Pay Rate:
$40.00 per hour based on skill level- Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.
