Executive Administrative Assistant/Receptionist
Job Description
Job Summary We are seeking a dynamic and organized Executive Administrative Assistant/Receptionist to join our team! In this vital role, you will serve as the primary communications and reception coordinator for the Office of Academic Affairs, providing executive-level administrative support while serving as a welcoming first point of contact for students, faculty, staff, and visitors. Exercise sound judgment in screening, prioritizing, and routing calls, inquiries, and correspondence to the appropriate university personnel, ensuring efficient communication and exceptional customer service. Duties Serve as the principal administrative support professional to the Vice President of Academic Affairs, exercising independent judgment in managing priorities, communications, and workflow for the division. Coordinate and monitor academic affairs processes and make recommendations regarding operational improvements. Analyze administrative issues and recommend solutions to leadership. Interpret and apply institutional academic policies and procedures. Independently manage special projects on behalf of the Vice President of Academic Affairs. Coordinate institutional accreditation activities and assist in ensuring compliance with accrediting standards. Exercise discretion in handling confidential personnel, faculty, and student matters. Develop, revise, and implement office procedures to improve operational effectiveness. Prepare reports and recommendations for executive leadership concerning academic affairs operations. Serve as a liaison among academic departments and administrative offices to resolve complex operational issues. Manage incoming communications for the Office of Academic Affairs, exercising sound judgment in screening, prioritizing, and routing calls and inquiries to the appropriate university personnel. Serve as a key point of contact for students, faculty, staff, and external constituents, ensuring timely, professional, and courteous responses. Other duties assigned in response to current demands. Skills Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with productivity software Experience with QuickBooks or similar accounting software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual communication skills to assist diverse clients and team members Demonstrated experience in office management, clerical work, or administrative support roles Exceptional phone communication skills with polite phone etiquette and multi-line system handling capabilities Data entry accuracy combined with proofreading skills to ensure error-free documentation Ability to manage calendar scheduling, time management, and personal assistant responsibilities efficiently Customer service orientation with a friendly demeanor and strong client communication abilities Technical proficiency in office equipment such as printers, scanners, and fax machines This position is ideal for motivated individuals eager to grow their administrative expertise while supporting a vibrant team.
