Executive Assistant to Owner/CEO Safe Auto Repair - Baytown / Mont Belvieu, TX Full-Time | In-Person This Is Not a Traditional Executive Assistant Position Safe Auto Repair is looking for an exceptional person to work directly alongside our Owner/CEO. Yes, you will manage calendars, communication, priorities, meetings and follow-up. But that is only the beginning. We are looking for someone with the potential to become a true second to the CEO — someone who can take ideas, priorities and decisions and help turn them into organized execution across the company. Our CEO is an entrepreneur and visionary who moves quickly, generates ideas quickly and is heavily involved in growth, people, operations and strategy. We need someone on the other side of that who naturally asks: What needs to happen next? Who owns it? When is it due? Did it actually get done? You won't walk into the company on day one with authority over the organization. That trust and responsibility must be earned. But we specifically want someone capable of growing into significantly more responsibility. The Mission Your initial mission is simple: Make the CEO more effective and make sure his priorities turn into execution. You will help create structure around a fast-moving CEO, protect his time, organize priorities, capture commitments, follow up with the leadership team and make sure important initiatives don't disappear after the conversation ends. As you demonstrate judgment, leadership and execution, we expect the scope of this position to grow. What You'll OwnCEO Priorities You will develop a clear understanding of what matters most to the CEO and the company.
You will:
Help organize daily, weekly and quarterly priorities. Keep major initiatives visible. Identify competing priorities. Protect the CEO from unnecessary distractions. Help determine what needs his attention and what can be delegated. Make sure today's emergencies don't constantly replace the company's important long-term work. The goal is not simply to manage the CEO's schedule. The goal is to help manage his focus. Turning Ideas Into Execution Our CEO generates ideas and makes decisions quickly. Your job is to help turn those ideas into action. When something is decided, you should naturally determine: What exactly are we doing? Who owns it? What is the deadline? What information is missing? Who needs to know? What needs to happen next? How will we know it's complete? You will maintain action-item and project tracking and follow up until commitments are completed. Leadership Follow-Through You will work closely with company leadership. Initially, your role will primarily be coordination and follow-up. As trust is earned, you may increasingly: Follow up with leaders on CEO priorities. Track commitments and deadlines. Request updates. Prepare leadership meeting agendas. Maintain company scorecards. Identify missed commitments. Surface issues before they become larger problems. Help coordinate projects involving multiple departments or locations. Ensure decisions made in meetings actually get implemented. You must be comfortable professionally holding people accountable — including people with more senior titles or more experience than you. Be the CEO's Second Set of Eyes We want someone who learns the business well enough to notice problems without being told to look for them. Eventually, we want you asking questions like: "Why hasn't this been completed?" "Who owns this?" "We've discussed this three times. What's preventing it from happening?" "Does this actually need the CEO?" "This doesn't appear consistent with the priority we agreed on." "You committed to this by Friday. Where does it stand?" Strong judgment is extremely important in this position. Calendar & Time Ownership You will take ownership of the CEO's calendar.That includes:
Scheduling meetings and appointments. Coordinating interviews and store visits. Protecting important work time. Identifying scheduling conflicts. Prioritizing requests for the CEO's time. Preparing him for upcoming meetings. Making sure his calendar reflects his actual priorities. We don't want someone who simply puts appointments on a calendar. We want someone who understands why the CEO's time is being spent where it is. Communication & Information You will help manage the enormous amount of information flowing toward the CEO.Responsibilities may include:
Email organization and prioritization. Drafting communications. Routing questions to the appropriate person. Gathering information before decisions. Preparing short executive summaries. Organizing documents. Maintaining confidential information. Communicating with managers, employees, candidates, vendors and business partners. The goal is for the CEO to receive the right information at the right time , not every piece of information generated by the organization. Meetings You will help make leadership meetings productive.That includes:
Preparing agendas. Gathering required numbers or information beforehand. Taking notes when necessary. Documenting decisions. Recording action items. Assigning or documenting owners and deadlines. Following up afterward. Meetings should create decisions. Decisions should create actions. Actions should create results. Recruiting & People Our CEO is heavily involved in recruiting key employees and leaders.You may:
Coordinate candidates and interviews. Review resumes. Conduct initial candidate screening as the role develops. Prepare interview materials. Track candidates through the hiring process. Coordinate offers and onboarding steps. Follow up with leadership regarding staffing priorities. Projects & Company Initiatives Safe Auto Repair is growing, and there will always be projects that don't fit neatly into one department. You may help coordinate initiatives involving: Operations Recruiting Marketing Facilities Vendors Technology Training Company events New locations Process implementation Leadership initiatives You don't need to personally perform every task. You need to help make sure someone owns it and it gets completed. Who We're Looking For This role requires an unusual combination. You Are Extremely Organized Chaos bothers you. When there are 20 moving pieces, your instinct is to organize them. You Are Assertive You can respectfully challenge the CEO. If something doesn't make sense, you'll ask. If he's overcommitting himself, you'll tell him. If he committed to something and hasn't done it, you'll remind him. The CEO does not need another person who simply agrees with him. You Have Leadership Potential You may not have held a major leadership title before. That's okay. But people naturally trust you, listen to you and respond when you ask for something. You Finish Things Starting projects is easy. Finishing them is what matters here. You Think Ahead You aren't only thinking about what needs to happen today. You're thinking: "If we do this, what happens next?" You Can Handle Intensity The CEO is direct, fast-moving and highly driven. You cannot require constant reassurance or become paralyzed when priorities change. You need to be able to calmly create order when things become hectic. You Understand Accountability Following up isn't rude. Deadlines matter. Commitments matter. Results matter. You Are Highly Trustworthy You will eventually have access to extremely sensitive company, financial, employee and personal information. Confidentiality is absolute. What This Position Is NOT This is not a receptionist position. This is not primarily a clerical position. This is not a position where you'll receive a perfectly organized task list every morning. And this is not a leadership position where authority is automatically granted because of your title. You will start by supporting the CEO and learning the organization. Responsibility, autonomy and influence will increase based on your performance. Growth Opportunity We are intentionally looking for someone capable of outgrowing the original job description. What Success Looks Like After your first 90 days, we should be able to say: The CEO is noticeably more organized. His calendar reflects his priorities. Important commitments are tracked. Leadership follow-up happens consistently. Meetings produce documented actions. Projects have clear owners and deadlines. Less information unnecessarily reaches the CEO. Fewer things fall through the cracks. You understand the major priorities of the business. You're beginning to anticipate what the CEO needs. Longer term, success looks different: The CEO can hand you an objective instead of a task list.Instead of:
"Schedule this meeting, email these three people and make this spreadsheet." He should eventually be able to say: "I need this problem solved." And trust you to help figure out everything between the problem and the result. That's the person we're looking for. Preferred Qualifications 3+ years in executive support, project management, operations, office management or a similar high-responsibility position. Experience working directly with a CEO, owner, President or senior executive is strongly preferred. Experience coordinating multiple people, departments or projects. Exceptional organizational skills. Excellent written and verbal communication. Strong technology skills. Comfortable with spreadsheets, calendars, task-management tools and AI. Strong judgment and problem-solving ability. Ability to handle confidential information. Demonstrated history of following projects through completion. Automotive experience is not required . We would rather hire someone with exceptional organizational ability, intelligence, drive and leadership potential and teach them the automotive business.Before You Apply Ask yourself:
