Overview We are seeking a dynamic and highly organized Executive Assistant & Office Administrator to join our team. This vital role provides comprehensive support to senior executives while ensuring the smooth operation of daily office functions. The ideal candidate is proactive, detail-oriented, and excels at managing multiple priorities with professionalism and enthusiasm. This position offers an exciting opportunity to contribute to a collaborative environment where efficiency and effective communication are paramount. Responsibilities Provide dedicated administrative support to C-suite executives, including calendar management, meeting coordination, and travel arrangements. Organize and facilitate company events, meetings, and conferences, handling logistics from venue booking to catering and technical setup. Manage office operations by overseeing supplies, equipment maintenance, and filing systems to ensure a productive work environment. Handle internal communications, draft correspondence, proofread documents, and transcribe meetings with accuracy. Utilize productivity software such as Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks for bookkeeping tasks, and video conferencing tools for virtual meetings. Coordinate project activities across departments, tracking deadlines and deliverables to ensure timely completion. Manage incoming calls with professional phone etiquette, handle confidential information discreetly, and maintain organized records through data entry and filing systems. Requirements Proven experience as an executive assistant or in office administration with strong organizational skills. Proficiency in Microsoft Office (Word, Excel, Outlook), QuickBooks, DocuSign, and video conferencing software such as Zoom or Teams. Excellent written and verbal communication skills with attention to detail for proofreading and transcription tasks. Ability to manage multiple calendars efficiently using tools like Microsoft Outlook Calendar or similar scheduling software. Experience in event planning, business travel arrangements, and project coordination is highly desirable. Strong interpersonal skills with the ability to collaborate effectively with C-suite executives and team members at all levels. Demonstrated ability to handle confidential information responsibly while maintaining professionalism under pressure. Technical proficiency in office equipment management including multi-line phone systems and computer literacy across productivity software platforms.
