Job Description

Description We are looking for an experienced Sr. Executive Assistant to provide high-level support within a mission-driven non-profit organization. This long-term contract opportunity is ideal for a detail-oriented candidate with substantial experience who can manage shifting priorities, protect executive time, and keep daily operations running smoothly. The role requires excellent judgment, strong written communication, and advanced administrative coordination across meetings, travel, and executive correspondence.
Responsibilities:
  • Oversee a complex executive calendar, balancing appointments, internal commitments, and priority changes with accuracy and discretion.
  • Prepare meeting materials, develop organized agendas, and help ensure leadership discussions are supported by clear documentation.
  • Coordinate domestic and business travel plans, including itineraries, reservations, and schedule alignment for executive commitments.
  • Arrange conference participation by managing registrations, logistics, and related scheduling details.
  • Draft, edit, and format clear and well-structured correspondence, reports, and other executive communications.
  • Support executive meetings by tracking timelines, confirming logistics, and helping maintain follow-through on key action items.
  • Create and maintain well-structured documents, spreadsheets, and presentations using Microsoft Office applications.
  • Serve as a dependable administrative partner who anticipates needs, handles sensitive information appropriately, and promotes efficient day-to-day workflow. Requirements
  • Demonstrated experience supporting senior-level executives in a high-level Executive Assistant capacity.
  • Strong background in calendar management, meeting coordination, and executive scheduling.
  • Proven ability to book and manage travel arrangements, including detailed itinerary planning.
  • Experience organizing executive meetings, conference logistics, and related administrative support activities.
  • Advanced proficiency with Microsoft Office Suite, especially Word, Excel, and Outlook.
  • Excellent written communication skills with the ability to draft and refine accurate correspondence.
  • Ability to manage multiple priorities independently while maintaining accuracy, discretion, and sound judgment.
