Job Description
Part-Time Executive & Operations Assistant Frisco / North Dallas Area | Flexible Schedule We are seeking a reliable, highly organized, and proactive Part-Time Executive & Operations Assistant to support a private business owner and investor with administrative work, investment tracking, property oversight, and scheduling. This role involves a mix of administrative tasks and periodic in-person property or vendor visits. The ideal candidate communicates clearly, follows through consistently, handles confidential information with discretion, and can manage multiple projects with limited supervision. Key ResponsibilitiesAdministrative & Coordination Coordinate meetings, travel, property visits, and calendars across multiple businesses and projects Prepare meeting summaries, track action items, and follow up with vendors and partners Organize digital and physical records, agreements, receipts, and other documents Serve as a primary administrative point of contact for vendors, property personnel, and external parties Occasionally assist with personal administrative tasks, local errands, or document delivery Investment & Financial Tracking Maintain internal records for private equity, real estate, and other private investments Track capital calls, distributions, statements, tax documents, and key deadlines Organize expenses, receipts, and invoices for bookkeeping and tax preparation Coordinate with accountants, bookkeepers, and investment sponsors when requested This role is focused on administrative tracking and organization. It does not involve making investment decisions or providing financial advice. Property & Vendor Oversight Conduct periodic property visits and document maintenance, cleanliness, safety, or condition issues Take photos, prepare brief inspection notes, and track identified issues Monitor projects and follow up with vendors regarding schedules, estimates, and completion Obtain and organize vendor proposals, invoices, insurance documents, and service records Escalate significant issues, delays, or cost changes to the owner Qualifications Reliable, punctual, and consistent in following through Strong written and verbal communication skills Excellent organizational skills and attention to detail Able to manage multiple deadlines and determine when owner approval is needed Working proficiency with Excel, including tables, sorting, filtering, basic formulas, and tracking logs Comfortable with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets Basic understanding of business expenses and common investment terminology Able to handle confidential financial, business, and personal information with discretion Reliable transportation for occasional local property visits Comfortable learning new systems and processes Preferred Qualifications Experience as an executive or administrative assistant, property coordinator, or operations support professional Experience maintaining financial, investment, or project-tracking spreadsheets Familiarity with commercial real estate, private investments, or vendor management
