Owner & CEO About the Role We are seeking an exceptional Executive & Personal Assistant to become the trusted right hand to a busy entrepreneur, owner-manager of multiple companies, and licensed psychologist. This is far more than an administrative position—it is an opportunity to become an indispensable partner in helping a high-performing professional operate at their highest level. The ideal candidate is highly organized, proactive, warm, emotionally intelligent, and genuinely enjoys bringing order to complexity. You should be someone who naturally anticipates needs, creates systems, follows through relentlessly, and can kindly but confidently help keep your employer accountable for priorities and deadlines. What You'll Do No two days will be the same.
Responsibilities may include:
Executive Support Manage complex calendars, appointments, meetings, and scheduling Organize, prioritize, and respond to email communications Screen calls and messages Coordinate travel and logistics Prepare documents, presentations, and correspondence Track projects, deadlines, and follow-up items Help prioritize competing demands and keep the CEO focused on high-value work Provide friendly accountability by ensuring important tasks, commitments, and deadlines stay on track Implement organizational systems that improve efficiency Perform a wide variety of executive support tasks, including errands, meal pickups, supply procurement, tidying/occasional light cleaning, and other duties that enable the CEO to remain focused on high-priority work. Psychology Practice Support Become HIPAA certified (training provided if needed) Handle confidential client communications with professionalism and discretion Screen prospective clients and manage initial inquiries Coordinate scheduling and appointment management Maintain strict confidentiality and professionalism at all times Operations & Technology Create workflows and systems that improve efficiency across multiple businesses Improve digital filing and document management Identify opportunities to streamline repetitive tasks and increase productivity Research and implement AI tools and automation to improve productivity and organization Personal & Household Assistance Assist with household organization Grocery shopping and household errands Occasional school drop-offs or pickups Coordinate personal appointments and scheduling Manage purchases, returns, and deliveries General Support This role is designed to remove as many tasks as possible from the owner's plate. If it can appropriately be delegated, you'll likely help make it happen. We're looking for someone who enjoys variety, adapts quickly, takes initiative, and is excited to jump in wherever needed. What We're Looking For You are someone who is: Exceptionally organized and detail-oriented Warm, friendly, approachable, and emotionally intelligent Professional and polished in every interaction Naturally proactive—you solve problems before they become problems Comfortable keeping a busy executive accountable while maintaining a positive, respectful relationship Excellent at prioritizing multiple projects Calm under pressure and adaptable when plans change Highly trustworthy and able to maintain complete confidentiality An excellent written and verbal communicator Tech-savvy and excited to learn new software, AI tools, and productivity systems Comfortable working independently with minimal supervision Resourceful and able to figure things out without constant direction Someone who genuinely enjoys making other people's lives easier Preferred Qualifications Experience supporting executives, business owners, physicians, attorneys, psychologists, or other professionals Experience in executive assistance, operations, office management, project coordination, or similar roles Strong computer skills, including Microsoft Office and Google Workspace Experience using AI tools such as ChatGPT, Claude, or similar productivity software—or enthusiasm for learning Valid driver's license and reliable transportation Ability to become HIPAA certified (if not already certified) Ability to lift and carry typical office and household items Compensation Compensation is based on experience, qualifications, and the level of responsibility you are able to assume. Starting pay is $25.00 per hour for candidates with limited experience who are primarily assisting with entry-level support tasks such as errands, organizing, light tidying, and general personal assistance. This position offers meaningful opportunities for growth as you gain experience, develop new skills, and take on increasing responsibility. For candidates with significant experience in executive support, operations management, project management, or Chief of Staff-level responsibilities, we are prepared to offer substantially higher compensation commensurate with your experience and demonstrated ability to independently manage complex executive, operational, and strategic responsibilities.
