The Indian Community School is seeking an Executive Assistant who provides high-level, detail-oriented administrative and project-management support to the School Administrator. This role requires exceptional communication skills, excellent organization, and the ability to work efficiently in a fast-paced, mission-focused environment. The Executive Assistant helps ensures smooth daily operations through proactive planning, workflow management, data management, and effective communication. The ideal candidate will support daily operations and institutional efficiency by demonstrating the following essential duties and responsibilities: Administrative Operations & Communications Independently evaluate, recommend, and streamline administrative procedures, office workflows, and operational systems to improve institutional efficiency. Organize digital and physical files; maintain structured systems for document storage and retrieval. Exercise high-level discretion and diplomacy when handling sensitive correspondence, student records, and personnel matters, determining appropriate routing and response protocols autonomously. Demonstrate effective verbal communication; anticipate needs; maintain a professional presence in all interactions. Technology & Systems Management Develop and own processes for shared drives, folders, permissions, and naming conventions to support efficient collaboration. Assist with basic Student Information System (SIS) tasks; familiarity with PowerSchool is preferred. Create clear, professional presentations for internal and external audiences. Coordination, Project & Policy Support Exercise independent judgment in screening, prioritizing, and resolving complex administrative bottlenecks, scheduling conflicts, and inquiries on behalf of the School Administrator without direct supervision. Monitor and screen incoming calls; respond professionally and direct inquiries appropriately. Manage project timelines, policy tracking deliverables, and documentation standards, utilizing independent analysis to ensure alignment with institutional guidelines and deadlines. Documentation & Mission Alignment Draft meeting minutes, prepare summaries, and support written communication needs with high clarity. Work closely with a student-centered leadership team; adapt quickly to shifting priorities. Actively participate in learning about American Indian culture, language, traditions, and the Seven Sacred Gifts.
QUALIFICATIONS
Education & Experience:
Associates degree or equivalent (CAP, CAE etc.), along with at least 3 years of previous administrative assistant experience.
Organizational Strength:
Exceptional attention to detail and ability to maintain structured systems.
Technology Fluency:
Robust Google Workspace skills; comfort with SIS platforms; ability to learn new tools quickly.
Communication & Discretion:
Clear, concise writing; polished verbal communication; deep discretion and diplomacy in handling sensitive information; ability to represent the School Administrator's office with professionalism.
Anticipatory Support:
Ability to foresee needs, prepare materials, and ensure readiness for meetings and deadlines.
Adaptability:
Comfortable managing multiple priorities and shifting tasks quickly while maintaining accuracy.
Requirements:
Regular in-person attendance is essential. Must remain free of any alcohol or illegal substances in the workplace throughout employment. Must maintain strict confidentiality regarding highly sensitive school, personnel, and student records.
