Job Description

We're looking for a highly organized, resourceful, and motivated Executive Assistant to work directly with the Broker/Owner of a fast-paced real estate company and support several related professional ventures. This is not a traditional administrative position where every day looks the same. We're looking for someone who enjoys variety, takes ownership, anticipates what needs to happen next, and gets genuine satisfaction from making things run smoothly behind the scenes. The right person will become a trusted right-hand—helping manage priorities, clients, transactions, marketing, travel, events, business operations, and the many details that come with a busy and growing business. You don't need to know everything on day one. What matters most is that you're organized, trustworthy, resourceful, detail-oriented, comfortable figuring things out, and ready to own the role. What You'll Do Executive Support & Organization Manage calendars, meetings, appointments, travel, and priorities. Track commitments, deadlines, follow-ups, and important details. Assist with email, correspondence, scheduling, and day-to-day organization. Anticipate needs and help keep priorities moving forward. Real Estate & Client Support Assist with listings and transactions from preparation through closing. Coordinate property-related needs including measurements, keyboxes, signs, showings, and listing updates. Maintain listings, client databases, CRM systems, and transaction information. Track deadlines and assist with transaction documentation and file compliance. Communicate professionally with buyers, sellers, agents, vendors, and business partners. Coordinate closing gifts, handwritten notes, anniversary cards, and other client touches. Work closely with our Office Manager and Administrative Assistant to keep operations running smoothly. Marketing & Business Support Assist with social media content for listings, personal branding, and the company. Create and coordinate flyers, newsletters, mailers, online marketing, and other materials. Maintain CRM and marketing systems. Assist with company, client, and community events. Assist with rental properties and basic financial organization, including receipts, invoicing, and QuickBooks. Help coordinate speaking, coaching, podcast, travel, and other professional commitments. Assist with special projects, research, and new initiatives as needed. Who We're Looking For Our ideal candidate: Is exceptionally organized and detail-oriented. Takes initiative and doesn't need to be told every next step. Can confidently prioritize when multiple things need attention. Is resourceful and enjoys figuring things out. Communicates professionally and confidently. Is trustworthy and understands the importance of confidentiality. Can work independently while also being part of a team. Learns technology and new systems quickly. Is comfortable with Microsoft Office and willing to learn CRM systems, Canva, social media platforms, and other technology used in the business. Enjoys a fast-paced environment where every day may look a little different. Is looking for a position where they can learn, take on responsibility, and grow. Previous experience in executive support, administration, operations, office management, or a similar professional role is preferred. Real estate experience is helpful but not required. We can teach the industry. Initiative, sound judgment, strong communication skills, organization, and the ability to take ownership matter more. A real estate license will be required within the first year of employment. Compensation & Benefits $45,000-$55,000 annual salary , based on experience and qualifications. Full-time, approximately 40 hours per week. Paid Time Off (PTO). Paid holidays. Professional development and opportunities for increased responsibility. Additional earning potential through real estate referral fees once licensed.
