POSITION SUMMARY
The Estate Planning Legal Executive Assistant provides comprehensive administrative and practice support to attorneys within the Firm's Estate Planning practice. This role works closely with assigned attorneys and other Legal Executive Assistants to manage time-sensitive communications, calendars and meetings, prepare and proofread legal documents and correspondence, maintain electronic and paper files, assist with billing and expenses, and coordinate other day-to-day administrative needs. The Legal Executive Assistant is expected to anticipate needs, manage multiple priorities and deadlines, communicate effectively across the team, and contribute to an efficient and collaborative workflow while maintaining a high level of accuracy, professionalism, and confidentiality.
KEY RESPONSIBILITIES
Lead the management and administration of a large volume of time-sensitive communications Maintain attorney business development contact lists through the firm's CRM Consistently and professionally communicate through internal and external calls and emails, building relationships with clients Perform administrative tasks independently Prepare, edit, and finalize, correspondence, legal documents, transcription, memos and other materials Proofread all materials for typographical errors, office style conformity, accuracy and inclusion of required information and enclosures Schedule and manage internal and external meetings and calendars, including working with the receptionist team to reserve meeting rooms and ensure meeting needs, such as refreshments and meals, are available as needed Assist with continuous client outreach, contact, relationship building and marketing activities Facilitate incoming and outgoing mail Manage attorney expenses and check requests Timely filing and maintenance of paper and electronic documents and records Assist in reviewing and editing client invoices Coordinate travel arrangements as needed Act as back-up for other Legal Executive Assistants Manage attorney boards and other pro bono work Perform all other duties as assigned
QUALIFICATIONS AND EDUCATION REQUIREMENTS
Strong ability to manage a wide variety of work streams simultaneously with accuracy and speed Demonstrate a positive attitude, high energy and a strong passion for your work Be a flexible team player by cooperating and collaborating with others to achieve timekeeper and firm goals and objectives, including outside of your assigned timekeepers Demonstrate the highest level of integrity, professionalism and confidentiality consistent with firm mission, values and policies Exhibit a strong work ethic and a willingness to exert more than the minimum effort Engage with clients in a professional, clear, concise, positive and timely manner Apply critical thinking and sound judgment in order to set priorities, meet deadlines, make decisions and independently resolve complex problems Consistently seek opportunities to advance technical and personal skills Proactively support internal customers and external clients utilizing the most current technology available Demonstrate initiative and resourcefulness to obtain information needed to perform duties with minimal supervision Communicate with team to gather critical information needed for various duties Bachelor's degree or equivalent legal experience preferred; estate planning experience in a law firm setting is a plus but not required. Excellent organization, time-management and prioritization skills Proficiency in Microsoft Office Suite, Work10, Adobe Pro Must have good organization skills
