Job Description

Executive Assistant Summary/objective:
The Executive Assistant serves as a central support role for Recovery Point West Virginia, providing high-level administrative, operational, and clerical support to the Executive Director, leadership team, and key organizational functions. This position plays a critical role in maintaining day-to-day office operations, coordinating meetings and communications, supporting board governance activities, and assisting with financial and administrative processes.
Essential functions:

  • Provide direct administrative support to the Executive Director and leadership team,
  • Serve as the primary point of contact for incoming calls, voicemails, and general inquiries; route communications appropriately
  • Manage incoming and outgoing mail, packages, and post office coordination
  • All other duties as assigned Board of Directors Coordination Coordinate all aspects of board and leadership meetings, including scheduling, tracking deadlines, preparing and distributing materials, maintaining board member records, setting up meeting logistics, recording attendance, taking and maintaining accurate minutes, and uploading and organizing documentation in designated system Office Operations & Organizational Support • Support day-to-day administrative office operations, including maintaining organized workspaces, managing conference room scheduling, maintaining inventory and ordering office supplies, supporting staff needs, managing ID badge creation, and ensuring the office operates efficiently and professionally Finance Department Support • Entering and processing bills and reimbursements • Assisting with payments, deposits, and check entry • Counting cash and maintaining accurate records • Filing financial documentation and maintaining organized records • Supporting communication, coordination, and ongoing relationships with all organizational vendors
Education/Qualifications:
High school diploma or G.E.D. is required. Associate's degree or relevant administrative experience preferred.
Knowledge, Skills, Abilities:
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines
  • Proficiency in Microsoft Office and general office systems
  • Ability to handle sensitive and confidential information
  • High attention to detail, especially in documentation and financial processes
  • Ability to work independently and collaboratively in a fast-paced environment
Work Environment:
Work is performed primarily in an office setting. The noise level in the work environment is usually moderately quiet
Physical Demands:
While performing the duties of this job, the employee routinely is required to sit; walk; talk and hear; use hands to keyboard, finger, handle, and feel; stoop, kneel, crouch, twist, crawl, reach, and stretch. The employee is occasionally required to move around the office. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception, and ability to adjust focus. May occasionally be required to lift up to 20 lbs.
