Executive Assistant & Real Estate Office Administrator Patterson & Co. Luxury Real Estate is seeking an exceptional, highly organized Executive Assistant & Real Estate Office Administrator to serve as the right hand to our Broker/Owner and help keep our growing brokerage operating at a high level. This is a full-time, in-person position in Lewisburg, West Virginia. It is ideal for someone who takes initiative, anticipates needs, protects confidential information, communicates professionally, and genuinely enjoys creating order in a fast-paced environment. This is more than a receptionist position: we need a dependable problem-solver who can take ownership, follow through, and help ensure that important details never fall through the cracks.
KEY RESPONSIBILITIES
Executive and Administrative Support Manage and organize the Broker/Owner's Microsoft Outlook inbox, calendar, appointments, reminders, meetings, and priorities. Draft routine correspondence, prepare meeting agendas, maintain task lists, and follow up on outstanding items. Coordinate business travel, appointments, events, and occasional light personal-assistant tasks that help the Broker/Owner remain focused and organized. Handle confidential business, client, agent, and personal information with exceptional judgment and discretion. Real Estate Operations Maintain transaction timelines, checklists, files, and deadline trackers under the Broker's supervision. Coordinate appointments and documentation with clients, agents, lenders, inspectors, photographers, appraisers, attorneys, and other vendors. Assist with document preparation, electronic signatures, file organization, and compliance review. Support listing launches by collecting property information, coordinating photography and signage, organizing marketing materials, and confirming that each launch task is completed. Prepare seller updates, activity reports, and internal status reports as directed. Perform only administrative activities permitted by West Virginia law; any activity requiring a real estate license will be handled by a licensed professional. CRM, Leads, and Agent Support Maintain accurate CRM records, route new inquiries promptly, monitor follow-up activity, and help ensure that every lead receives timely attention. Track outstanding client and agent needs and follow through until each item is resolved. Assist with agent onboarding, training coordination, meeting preparation, internal communications, and accountability systems. Help create repeatable office procedures, checklists, and systems that improve efficiency across the brokerage. Office and Marketing Coordination Help manage daily office operations, incoming calls, visitors, mail, supplies, vendors, records, and shared files. Coordinate social media, email marketing, online reviews, listing materials, client gifts, events, and community outreach. Assist with Canva designs, marketing calendars, database campaigns, and basic website or listing updates. Organize receipts, invoices, expenses, commission records, and reports for review by the Broker and accounting professionals.
QUALIFICATIONS
Three or more years of successful administrative, executive-assistant, office-management, or similarly responsible experience is preferred. Strong proficiency with Microsoft Outlook, Word, and Excel is required. Excellent written communication, proofreading, telephone, and client-service skills. Outstanding organization, accuracy, follow-through, time management, and ability to manage changing priorities. Comfortable learning and using CRM, transaction-management, electronic-signature, cloud-storage, and marketing platforms. Real estate, legal, banking, title, mortgage, or professional-services experience is strongly preferred but not required. Experience with Google Workspace, DocuSign, Canva, social media, and basic bookkeeping is helpful. Professional appearance and demeanor, reliable transportation, and consistent in-office attendance. Ability to maintain strict confidentiality and exercise sound judgment without constant supervision.
WHAT SUCCESS LOOKS LIKE
Within the first 90 days, the successful candidate will have created reliable control over the Broker/Owner's inbox and calendar, established clear transaction and listing trackers, improved lead and agent follow-up, organized key files and workflows, and reduced the number of tasks requiring the Broker's direct attention.
SCHEDULE AND COMPENSATION
Full-time, in-person position in Lewisburg, WV Approximately 40 hours per week, primarily Monday through Friday $20.00-$24.00 per hour, based on experience and demonstrated skills
