Overview - File Management Assistant Join a world-class luxury travel team as a File Management Assistant and support senior leadership in delivering exceptional, white‑glove service to an international clientele. This role begins as a paid mentorship and is designed to grow into a senior operational or advisory position within the agency. About the Role The File Management Assistant is a highly organized, proactive professional who provides day‑to‑day administrative, operational, and client support to agency management and senior advisors. This role is essential to ensuring seamless workflows, accurate travel arrangements, and exceptional client service. Success in this position requires strong communication skills, exceptional attention to detail, and proficiency with digital productivity tools. About Destinations Travel Advisors (DTA) Destinations Travel Advisors is a boutique luxury travel agency specializing in bespoke travel planning and concierge services for discerning clients worldwide. Established in 2010, DTA delivers personalized, high‑touch service and exclusive access through a team of seasoned travel professionals with over 70 years of combined industry experience. Key Responsibilities Manager & Advisor Support Provide direct administrative and operational support to the agency owner and management team. Assist with daily workflow coordination, task prioritization, and follow‑up on open items. Maintain accurate client files, documentation, and internal records. Handle general office responsibilities and special projects as assigned. Itinerary & Client Coordination Update, and maintain detailed travel itineraries. Ensure all client deliverables are accurate, timely, and presented professionally. Booking Support Answer phone calls and provide courteous, knowledgeable assistance to clients. Collect client preferences and travel requirements on behalf of management or senior advisors. Reservations & Payments Process client payments accurately and efficiently. Track confirmations, invoices, and payment statuses. Qualifications Strong interest in a long‑term career in luxury travel or executive support. Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to multitask, work under pressure, and meet deadlines. Proficiency with digital productivity tools (Microsoft Office Products, ability to learn new software) Career Path Entry‑
