This vital role combines front desk responsibilities with efficient file management to ensure smooth daily operations. As the first point of contact for visitors and callers, you will create a welcoming atmosphere while maintaining accurate records and supporting office management tasks. Your enthusiasm, strong organizational skills, and professional demeanor will help foster a positive environment and streamline administrative processes. Duties Greet visitors warmly, answer multi-line phone systems, and direct calls with excellent phone etiquette Manage front desk operations, including answering phones, scheduling appointments, and providing customer support Perform data entry and maintain electronic and physical filing systems with precision and attention to detail Assist with office management tasks such as calendar management, organizing documents, and coordinating meetings Support clerical functions including proofreading, word processing, and preparing correspondence using Microsoft Office tools Handle incoming and outgoing mail, packages, and deliveries efficiently Maintain a clean, organized reception area while ensuring confidentiality of sensitive information Qualifications Bilingual skills are highly desirable to assist diverse clients and visitors effectively Proven office management experience with strong computer literacy and proficiency in Microsoft Office applications Previous office or clerical experience demonstrating excellent organizational skills and attention to detail Strong customer service skills with the ability to handle phone reception professionally and courteously Familiarity with multi-line phone systems, data entry, filing, and proofing documents Excellent time management abilities to prioritize tasks efficiently in a fast-paced environment Personal assistant or administrative support experience is a plus; must be capable of calendar management and multitasking effectively Join us in this engaging role where your organizational talents and friendly demeanor will make a meaningful impact every day!
