Position Summary The Legal Department Administrator provides comprehensive operational, administrative, and process support to the in-house legal team. The position owns the day-to-day administration of the department's matter management, entity management, service-of-process, and e-billing systems; coordinates outside counsel invoicing and legal spend reporting; and maintains the department's vendor relationships, subscriptions, and records. The position routinely handles highly confidential and attorney-client privileged information requiring the highest degree of discretion. The role works under the direction and supervision of licensed attorneys and does not provide legal advice. Essential Duties and Responsibilities The following is a non-exhaustive list of essential functions of the position. Other duties may be assigned. Legal Department Administration Support corporate filings and entity maintenance, including obtaining certificates of good standing. Monitor and track service of process intake, garnishment processing and routing, and subpoena routing under attorney supervision. Build and maintain reporting on legal spend, matter volume, and other departmental metrics. Coordinate department meetings and team events. Support onboarding of legal department members. Manage incoming legal department mail and route to the appropriate recipient. Prepare overnight shipping labels for team correspondence as needed. Maintain records storage. Maintain the contract repository for the legal department. Notarize documents. Legal System Administration Serve as the system administrator for the CSC platform, including the Matter Management, Entity Management, Service of Process, and E-Billing modules. Prior experience with the CSC platform is preferred but not required; comprehensive training will be provided. Maintain and coordinate user on-boarding and permissions for legal systems. Serve as liaison between vendors and legal department on system issues, upgrades, and renewals. Support implementation of new legal technology. Outside Counsel Coordination and Invoicing Facilitate outside counsel onboarding to e-billing system. Support attorneys in processing invoice adjustments and resolving billing inquiries from outside counsel. Generate and circulate reports of outside counsel invoices to attorneys. Cross-Functional Administrative Support Primary responsibility shall be supporting the Legal Department. Administrative assistance to other departments may be assigned on an occasional basis to address business needs. Scope and Limitations The position works under the direction and supervision of licensed attorneys on the legal team. The position does not provide legal advice, render legal opinions, interpret contracts or statutes for internal clients, or exercise independent judgment on legal questions. The person in this position handles privileged and confidential information and is expected to maintain confidentiality and to route substantive inquiries to the responsible attorney. Qualifications Required Associate's degree or equivalent combination of education and experience At least 5 years of experience supporting a corporate legal department or law firm. Proficiency in Microsoft Office (Excel, Word, Outlook, SharePoint) and comfort learning enterprise systems. Michigan notary commission, or willingness and eligibility to obtain one. Ability to work full-time, on-site, at the Troy, Michigan office. Preferred Bachelor's degree. Experience with matter management, e-billing platforms and outside counsel invoices. Experience supporting corporate secretarial filings and entity maintenance. Familiarity with PACER, e-discovery platforms, and court docketing conventions. Competencies Strong organizational skills and demonstrated ability to manage recurring deadlines and reporting cycles without prompting. Strong problem-solving and critical thinking skills. Excellent interpersonal and communication skills, with the ability to interact professionally and effectively with individuals at all levels and across diverse personalities. Ability to prioritize competing deadlines. Ability to handle confidential and privileged information with discretion. Physical Demands and Work Environment This position operates in a professional office environment and requires the regular use of standard office equipment. The role requires the ability to remain at a workstation for extended periods, to communicate by telephone and in writing, and to occasionally lift files or materials weighing up to 20 pounds.
