The Legal Secretary will provide high-level administrative and practice support to attorneys, helping ensure the efficient delivery of client work and the smooth day-to-day operation of the practice. This role offers the opportunity to work in a fast-paced, collaborative, and professional environment within an international law firm. Key ResponsibilitiesAttorney & Practice Support Provide proactive administrative support to attorneys and legal professionals. Manage complex calendars, including scheduling meetings, conference calls, and appointments across multiple time zones. Coordinate domestic and international travel arrangements, including itineraries, accommodations, and expense reporting. Prepare, format, proofread, and revise legal documents, correspondence, presentations, and reports. Assist with document production, filings, and execution processes. Open new matters and support client onboarding procedures. Maintain electronic and physical files in accordance with firm policies and procedures. Serve as a professional point of contact for clients, outside counsel, vendors, and internal departments. Document & Transaction Support Prepare engagement letters, legal documents, and closing materials. Maintain document organization and version control. Coordinate signature and execution processes and maintain executed documents. Assist with presentations, client pitches, and business development materials. Support printing, scanning, binding, and distribution of documents as needed. Team & Office Support Support visiting attorneys and colleagues from international offices. Coordinate meeting logistics, including conference room reservations and catering. Receive and distribute incoming mail as needed. Assist with general office administrative duties. Build effective working relationships across legal and business services teams. Contribute to a collaborative and professional office culture. Required Skills Excellent written and verbal communication skills. Strong interpersonal skills with the ability to build effective working relationships across a diverse group of stakeholders. Exceptional organizational and time management skills, with the ability to manage multiple priorities and meet deadlines. Strong attention to detail, including proofreading and document review skills. Professional, proactive, and client-service-oriented approach. Ability to handle confidential and sensitive information with discretion. Flexibility and adaptability in a fast-paced environment. Experience Previous experience as a Legal Secretary, Legal Assistant, or Executive Assistant within a law firm or professional services environment. Experience supporting attorneys in a Private Client practice preferred. Proficiency in Microsoft Office, including Word, Outlook, Excel, and PowerPoint.
