Full Job Description Overview:
We are seeking a reliable, professional, and detail-oriented individual to join a forensic psychology practice as a part-time administrative support staff member. This position is approximately 16-20 hours per week and pays $25.00 per hour. The schedule is flexible, and we are willing to work with the selected employee to establish a schedule that works for both the employee and the needs of the practice. We welcome working students and strongly encourage continued education. For the right applicant, we are willing to work around an established school schedule when reasonably possible. This position will initially require in-office work. A work-from-home option may become available after successful completion of the probationary period and once the employee has demonstrated consistent, reliable, and satisfactory job performance. Remote work is not guaranteed and will depend upon performance and the needs of the practice. This is a forensic psychology practice, and the psychologist serves as an expert witness in legal proceedings. As a result, the office environment is somewhat different from a traditional mental health practice. Attorneys and other legal professionals are frequently present in the office. Many individuals attending appointments are defendants involved in criminal proceedings who are undergoing forensic psychological evaluations. Applicants must understand the nature of this setting and feel comfortable interacting professionally and respectfully with both legal professionals and defendants. Confidentiality, discretion, appropriate professional boundaries, and sound judgment are essential. The office itself is friendly and collaborative, but we maintain professional standards given the nature of the work. We try to maintain an organized and pleasant workspace, and somewhere along the way blue became my favorite, although accuracy and organization are considerably more important around here. Duties:
The Office Assistant will provide general administrative support to the psychologist and other staff.
Primary responsibilities will include:
Responding to and managing routine office emails and correspondence. Maintaining and organizing the office calendar. Scheduling and coordinating appointments. Communicating with the psychologist and other staff regarding appointments, scheduling, and office needs. Assisting with routine administrative and clerical responsibilities. Maintaining organized electronic documents and office records. Handling confidential and sensitive information appropriately. Communicating professionally with attorneys, legal offices, defendants, and other individuals who contact the practice. Assisting with other reasonable office responsibilities as needed. After successful completion of the probationary period and adequate training, the employee's responsibilities will expand to include preparation and management of billing and invoices. This responsibility will be added only after the employee has demonstrated sufficient accuracy, reliability, and understanding of office procedures. Qualifications Applicants must possess strong written and verbal communication skills, professionalism, reliability, good organizational skills, attention to detail, and the ability to work cooperatively as part of a team. The individual should be capable of taking direction, learning new procedures, managing competing responsibilities, and completing assigned work accurately and timely. Applicants must have a working familiarity with Microsoft Word and Excel and be comfortable using Mac computers. Some office-specific procedures, programs, and tasks can and will be taught. However, applicants must come into the position with at least a basic foundation in computer use, email, electronic document management, Word, and Excel. Reliable transportation is required, and applicants must be able to consistently report to work as scheduled. Professional references are required and will be contacted as part of the hiring process. Interviews will be conducted in person. Applicants invited to interview are expected to make a reasonable effort to present themselves professionally. Formal business attire is not required, but applicants should arrive appropriately dressed and groomed for an interview in a professional office environment. Due to the sensitive and confidential nature of the work performed by this practice, the selected applicant will be required to undergo a Live Scan background check as a condition of employment. Applicants will not be asked to complete a Live Scan unless they are being seriously considered for the position. The applicant will initially be responsible for the Live Scan fee. If hired, the fee incurred for the required Live Scan will be reimbursed by the practice. A prior criminal history does not necessarily result in automatic disqualification from consideration. Individuals with some criminal history may still be considered for the position. However, there are limitations based upon the nature of the position and the information to which an employee may have access. Full and accurate disclosure during the hiring process is necessary. Any background information will be considered in accordance with applicable law and in relation to the responsibilities of the position. Applicants must also be able to perform the duties of the position safely, reliably, and without impairment from alcohol, cannabis, ketamine, illegal substances, or the misuse of controlled substances.
