The successful candidate will:
- Provide direct support to attorneys in a busy litigation practice.
- Prepare, format, proofread, and file pleadings, correspondence, memoranda, and other legal documents.
- Manage attorney calendars, deadlines, hearings, depositions, meetings, and other appointments.
- Assist with discovery, including organizing and coordinating litigation materials and deadlines.
- Prepare and submit electronic court filings and assist with service of pleadings and other legal documents.
- Maintain accurate and organized electronic case files using Caret Legal case management software and NetDocuments document management software.
- Communicate professionally and courteously with clients, opposing counsel, courts, and other third parties.
- Assist with client intake and other administrative tasks as needed.
- Coordinate with the firm's attorneys, paralegals, receptionist/file clerk, and Administrative Manager to ensure matters are handled efficiently.
- Work independently, exercise sound judgment, and recognize when questions or additional guidance are needed.
- Effectively prioritize and manage competing demands when supporting multiple attorneys.
- Maintain a high level of accuracy, organization, confidentiality, and attention to detail.
Required Qualifications Minimum of 2 years of legal secretarial or legal administrative experience, preferably in a law firm environment. Prior experience supporting attorneys in a litigation practice. Strong knowledge of Microsoft Office, particularly Word, Outlook, and Excel. Excellent written and verbal communication skills, including strong proofreading, grammar, and formatting abilities. Strong organizational skills with exceptional attention to detail and the ability to manage multiple deadlines and competing priorities. Ability to prepare, format, proofread, organize, and electronically file legal documents accurately. Familiarity with court procedures and electronic filing systems. Ability to maintain organized and accurate electronic files and records. Professional and courteous communication skills when interacting with clients, attorneys, courts, opposing counsel, and other third parties. Ability to work independently, exercise sound judgment, maintain confidentiality, and ask questions when appropriate. Ability to work effectively as part of a small, collaborative team. Strong problem-solving skills and the ability to identify issues and take appropriate steps toward resolution. Associate's degree or equivalent combination of education and relevant experience. Bonus Qualifications Experience supporting multiple attorneys in a busy litigation and transactional practice. Prior experience in family law, business law, contracts, or general civil litigation. Experience with NetDocuments or another legal documents management system. Experience with Caret Legal or another legal case management system. Experience preparing and coordinating pleadings, discovery, and other litigation documents. Experiencing preparing and coordinating business transactional documents and transcripts. Experience with electronic service and e-filing in Virginia courts. Experience with legal billing, time entry, or other law-firm administrative systems. Notary Public commission or willingness to obtain one. Bachelor's degree or paralegal/legal assistant certification.
