The most senior and experienced Legal Secretary IV provides high-level administrative support to attorneys in the Child Support Enforcement Section. This position involves specialized administrative expertise, leadership, and management of administrative functions. This position manages sensitive and confidential information, coordinates executive calendars, and assists with complex legal matters. The executive legal secretary serves as a trusted liaison between executives, legal teams, and internal/external stakeholders.Essential Duties:
- Provides specialized high-level administrative support to the Child Support Enforcement Section.
- Contributes to the development and improvement of section/unit procedures.
- Manages complex calendars, appointments, and travel arrangements for attorneys and/or executives.
- Prepares and reviews legal documents and correspondence with utmost attention to detail.
- Coordinates and facilitates meetings and conferences, including preparation of agendas, meeting materials, and minutes.
- Assists in the preparation and review of financial documents, budgets, and reports.
- Organizes and maintains files and systems, ensuring accuracy and accessibility.
- Serves as a point of contact for internal and external stakeholders, handling inquiries and requests.
- Collaborates with legal teams and provides assistance in preparing presentations and reports.
- Prepares expense reports, tracks invoices, and handles billing matters.
- Handles confidential information with the utmost discretion and maintains strict confidentiality protocols. Minimum Qualifications
- A minimum of 10+ years of experience as a legal secretary or executive assistant in a legal environment. Supervisory experience is a plus.
- In-depth knowledge of legal terminology, procedures, and documentation.
- Excellent organizational and multitasking skills.
- Exceptional attention to detail and accuracy.
- Strong communication and interpersonal skills.
- Proficiency in using office software and legal research tools.
- Ability to work in a fast-paced environment and meet tight deadlines.
- Discretion and ability to handle sensitive information with confidentiality.
- Strong problem-solving skills and ability to anticipate needs. Additional Considerations
