This position is an important part of our administrative team and supports both the financial operations of the practice and the experience of the clients we serve. The ideal candidate has experience with mental health or medical billing, understands insurance processes, and is comfortable balancing billing responsibilities with reception, scheduling, credentialing, and general administrative support. Because our clients may be navigating sensitive mental health concerns, professionalism, empathy, confidentiality, and strong communication skills are essential. Medical Billing Responsibilities Prepare, submit, and follow up on insurance claims, including commercial insurance, Medicaid, Medicare, EAPs, and other applicable payers. Post insurance and client payments and maintain accurate billing records. Monitor and reconcile accounts receivable and outstanding balances. Verify client insurance eligibility, benefits, coverage, and applicable cost-sharing. Investigate denied or rejected claims and complete corrections, appeals, and resubmissions as appropriate. Maintain accurate CPT and ICD-10 coding information and ensure claims meet payer requirements. Communicate professionally and compassionately with clients regarding balances, payment arrangements, sliding-scale agreements, and other billing questions. Identify billing discrepancies and work proactively to resolve reimbursement issues. Maintain organized documentation of claims, payments, payer communications, and follow-up activities. Credentialing & Insurance Responsibilities Complete credentialing for newly hired clinicians and contractors. Manage recredentialing requirements for current clinicians, contractors, and the practice as required by insurance companies. Maintain credentialing records and monitor renewal and recredentialing deadlines. Communicate with insurance companies regarding applications, contracting, enrollment, and credentialing status. Assist with maintaining accurate provider and practice information with insurance payers. Reception & Administrative Responsibilities Provide a warm, professional, and welcoming experience for clients. Schedule, reschedule, and confirm appointments. Answer phones and respond to client inquiries in a timely and professional manner. Assist prospective and current clients with general practice questions and administrative needs. Maintain client confidentiality and comply with HIPAA and practice privacy requirements. Support clinicians and practice leadership with administrative tasks as needed. Maintain organized electronic records and administrative systems. Help create a calm and supportive environment for individuals navigating mental health and behavioral health concerns. Required Qualifications Medical billing/coding certification (CPB, CPC, or equivalent) OR a minimum of 2 years of relevant medical billing experience. Previous experience with mental health, behavioral health, or outpatient medical billing strongly preferred. Working knowledge of insurance claims, denials, appeals, accounts receivable, CPT codes, ICD-10 codes, and payer requirements. Strong attention to detail and ability to identify and resolve billing discrepancies. Excellent written and verbal communication skills. Strong organizational and time-management skills. Ability to independently prioritize multiple responsibilities and follow tasks through to completion. Ability to handle confidential and sensitive information with professionalism and discretion. Comfortable communicating with clients regarding insurance and financial matters. Experience using Google Workspace, including Gmail, Google Drive, Google Docs, and Google Sheets. Preferred Qualifications Experience with SimplePractice or another behavioral health EHR/practice management system. Previous experience with insurance credentialing and recredentialing. Experience working within a private mental health or behavioral health practice. Familiarity with Medicare and Medicaid billing. Bilingual skills are welcomed but not required.
