Municipal Office Assistant
Job Description
Description Providing professional, friendly front-office customer service and responding to resident, business and general public inquiries; Preparing correspondence, filing, data entry and maintaining accurate, organized and confidential municipal records; Assisting with accounts payable and accounts receivable, including processing invoices, payments and related documentation; Processing utility and property tax payments, issuing receipts and responding to account inquiries; Assisting with utility administration, including meter readings, account updates and monthly billing; Assisting with the preparation of tax certificates, statements and other municipal documentation; Maintaining accurate financial records and supporting the CAO with year-end financial reporting and audit preparation; Assisting with general ledger entries, journal postings and other routine accounting functions; Assisting with the preparation, organization and distribution of Council information, meeting materials and correspondence; Completing ongoing historical records digitization, including scanning, organizing, indexing, naming and electronically filing municipal documents in accordance with records management practices; Updating information on the Towns website and other municipal communication platforms to ensure information remains current and accessible; Providing general administrative and clerical support to the CAO and assisting with the efficient operation of the municipal office; Maintaining a high level of accuracy, organization, confidentiality and professionalism when handling municipal, financial and personal information; and Performing other administrative, financial and municipal office duties as required to support Council, the CAO, staff and the effective day-to-day operation of the municipality.
