Job Description

Job Overview We are seeking a dedicated Full-Time Second Deputy Clerk to support the Circuit and Superior Courts. This vital role involves managing court records, assisting with administrative tasks, and ensuring the smooth operation of both Circuit and Superior Court filings. The ideal candidate will possess strong organizational skills, attention to detail, and a background or knowledge of court operations and administrative work. This position is a 'floater' position between the Circuit and Superior courts, assisting both courts when needed. Responsibilities Processes and files criminal, civil, traffic, estates, child support, and juvenile cases, including but not limited to filing court documents, payments, preparing forms, preparing and issuing warrants, summons, and notices, re-opening cases for payment, retrieving and processing mail, and maintaining court order books and dockets. Records judgments, restitution, and satisfaction in the Judgment Book, and establishes payment records on the computer. Retrieves state tax warrants upon request. Collects and receipts payments for all cases, including fees, fines, costs, bonds, and judgments. Updates computer files and court records accordingly. Balances cash drawer, prepares bank deposits, deposits money at bank, and delivers mail to post office. Issues bond checks to defendants following court appearances, and processes cash bonds, including receipts and updating computer records. Assists County residents at the service counter, including accepting court filings, issuing marriage licenses and certificates, and retrieving old marriage licenses as needed when assisting the Superior side. Collecting and preparing receipts for fees, fines, costs, and judgments, and entering transactions into computer files. Files court papers in pending cases, updates dockets, processes traffic tickets, and corresponds with the State BMV system, including reinstatements and suspensions of licenses. Change of venue documents, and other related correspondence; enters docket notes and related information into computer files. Answers the telephone and greets service counter visitors, providing information and assistance, taking messages, and referring callers to the appropriate individuals or departments. Performs duties of co-workers in their absence or as necessary to maintain Department operations. Assists with elections when needed or assigned by the Clerk. Performs related duties as assigned. Research Court records as requested by individuals and other private and government agencies, providing copies and information as appropriate. Record preservation on new and old records. Occasionally retrieves old files from storage and conducts records searches as needed. Job Requirements/Skills Needed High school diploma or HSE with advanced education from a business college or equivalent combination of work experience or training preferred. Working knowledge of all court operations, with ability to assure proper recording of proceedings, prepare and update chronological case summaries, maintain complete and accurate files, and compose written orders and correspondence as required. Ability to provide public access to, or maintain confidentiality of, Department information and records according to State requirements Working knowledge of standard office procedures, basic computer skills, including data processing, spreadsheet, and email, as well as Department-specific software applications, with the ability to apply such knowledge to a variety of interrelated processes, tasks, and operations. Working knowledge of standard English grammar, spelling, and punctuation and ability to type with speed and accuracy. Knowledge of standard policies and practices of the Clerk's Office, with the ability to assist office visitors, accept and receive payments, maintain and update Department records, and apply appropriate procedures accordingly. Knowledge of Scott County legal and court systems, including legal terminology, and official court policies, practices, and standard procedures; working knowledge of related social, government, and law-enforcement agencies. Ability to properly operate a variety of standard office equipment, including computer, calculator, telephone, copier, fax machine, microfilm, scanner, and postage meter. Shall comply with all employer and Department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct. Ability to work rapidly for long periods on several tasks at a time, often under time pressure. Ability to perform arithmetic operations, such as counting, adding, subtracting, computing, and calculating, often large sums of money/Bonds. This position is essential for maintaining the integrity and efficiency of our courts. We are seeking committed professionals who are eager to learn and interested in working within the court system.
