Job Description

Kent County's Probate Court Clerk's Office is looking for an organized, service-minded leader to help run the daily operations of a busy, high-impact court office. As Assistant Probate Supervisor , you'll work closely with the Chief Deputy Probate Register to keep the office running smoothly — leading a team, solving problems for the public, and making sure the Court's work gets done accurately and on time. Team Leadership & Development Help supervise and support clerical and customer service staff, following County policy, union contracts, and applicable law. Train staff, assign work, and help evaluate performance — building a team that delivers excellent service. Set goals for staff and connect them with training and development opportunities. Coordinate attendance, leave, and vacation schedules to keep the office properly staffed. Perform a variety of day-to-day clerical and administrative duties and is responsible for completing other miscellaneous tasks as assigned to support departmental operations. Operations & Customer Service Monitor workflow across the office, prioritize projects, and reallocate work to meet deadlines. Step in on complex or sensitive customer service situations that call for deeper knowledge of court records, fees, and procedures. Track changes in laws, court rules, and County policy, and help put new procedures into practice. Financial & Administrative Support Prepare confidential reports and maintain sensitive personnel, disciplinary, and investigative files. May oversee daily cash balancing, deposits, and financial reporting for the Court. May assist with the office budget, payroll processing, and inventory/supply management. Communication & Representation Draft correspondence, reports, agendas, and other materials for internal and external audiences. Help prepare and deliver presentations to the Board of Commissioners, Court leadership, and the public. Serve as a knowledgeable point of contact for judges, County departments, state and local agencies, and community members. High school diploma, plus four years of progressively responsible experience in administration, including at least one year of supervisory experience — or an equivalent combination of education and experience.
Preferred Skills & Knowledge:
An Associate's degree is a plus. Solid knowledge of probate-related statutes, court rules, and office procedures (or the ability to learn quickly). Comfort with word-processing, spreadsheet, and database software. Strong writing, grammar, and communication skills. A calm, organized approach to juggling competing priorities and a high volume of work. A genuine ability to connect with people from all walks of life. Notary Public appointment and Certified Electronics Operator/Recorder (CEO/CER) certification may be required — training provided if needed Please monitor the email address included on your employment application for future communications related to your application.
