JOB SUMMARY
Under the general supervision of the City Secretary this position is responsible for maintaining all court records, assisting the Judge and Prosecutor, assisting defendants, residents and customers on the phone and in person.
MAJOR DUTIES
DEPUTY
COURT CLERK
Prepares court docket generated from complaints, arrests by recording on docket jacket and post on computer Enter case information in court database. Provides information to individuals regarding court cases and complaints. Accepts and posts payments for State reports and prepares bank deposits. Prepares all monthly and quarterly State reports. Prepares all necessary information for the Municipal Judge. Maintains all records and necessary forms of the Court for easy retrieval. Maintains all files in accordance with the retention schedules as prescribed by the State. Responsible for generating and maintaining a manual of current procedures concerning all duties of the Court Clerk.
ADMINISTRATIVE ASSISTANT
Directs inquiries to the appropriate department. Assists in the preparation of materials for public distribution. Duplicates and prepares Board Agenda Packet and Friday Report for distribution to City Council. Prepares invoices/statements and assigns the appropriate budget code. Reconciles cash drawer daily and prepares the necessary deposits. Participates in the City Council elections if necessary and appointed by the City Secretary. Assists the City Secretary with all duties as assigned.
Qualifications:
KNOWLEDGE, SKILLS AND ABILITIES
Must possess a High School Diploma or equivalent. Clerk I Certification (minimum) Cash collection experience Experience in customer service Experience in filing and record keeping Understanding of the City s political environment and sensitivities.
