Essential Duties and Responsibilities:
Greet the public and provides information concerning fines and filing fees, bonds, defensive driving classes, community service, traffic violations, small claims, debt claims, and civil actions. Interacts in a cordial and professional manner with the public, co-workers, attorneys, legal staff, litigants, other courts, county staff, law enforcement agencies and officers, hospital staff, nurses, physicians, bondsmen, probation officers and funeral home personnel.
Receives, dockets, and maintains files on incoming cases, criminal complaints, civil petitions, and citations including civil and criminal cases, hot checks, administrative hearings, and traffic tickets; sets hearing dates and sends notices of hearings to appropriate parties. Prepare and forward appeals to the county clerk.
Prepares and processes complaints, petitions, correspondence, forms, reports, and various legal documents such as judgments, citations, appeals, mental commitments, marriage and death certificates, criminal and felony cases, and warrants.
Issues citations, warrants, writs, and other legal documents in civil and criminal cases as required, including forcible entries and detainers.
Maintains updated calendar of hearings and docket calls, ensuring all information is current and accurate. Prepare paperwork and sign-in lists for court hearings. Attend court hearings as necessary.
Answer the telephone and direct calls or take accurate messages, as appropriate.
Receive money and issue receipts for payments of fines and fees; create bank deposits and maintain computerized records of all financial transactions.
Balance and reconcile bank accounts and prepare related reports for submission to County Clerk and Treasurer.
Process and record incoming mail and respond to correspondence appropriately.
Serves as clerk of the court and signs various legal documents for the Justice of the Peace.
Participate in educational opportunities provided by State agencies; completes courses related to acquiring and maintaining certification as a Justice Court Clerk.
Performs other duties, as assigned by the Court Coordinator or Justice of the Peace.
Knowledge, Abilities, and Skills:
Knowledge of general office operations and records maintenance; knowledge of Justice of the Peace court procedures and related forms; knowledge of basic legal terminology; knowledge of basic bookkeeping procedures; knowledge of the operation of personal computers and associated software including Word, Excel, and Adobe.
Ability to use computer management systems related to court systems; ability to plan, organize, and perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to prepare legal documents and maintain criminal and civil case dockets in an accurate manner; ability to work effectively with staff, citizens County officials, and others.
Skilled in working with the public, have strong communication skills, and know verbal de-escalation tactics. This position deals with individuals who may be angry, scared, or upset about their situation.
Physical Requirements and Work Setting:
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting to 15 lbs.; visual acuity, hearing ability, and manual dexterity required. Education and/or
Experience Required:
Two years of clerical, general office, secretarial or the equivalent; OR two years of administrative, secretarial, or diversified clerical experience.
Must have not been convicted, plead guilty or nolo contendere, nor have been on court-ordered community service/probation for a Class B misdemeanor within the past 10 years.
Must have never been convicted, plead guilty or nolo contendere, nor have been on court-ordered community service/probation for a Class A misdemeanor or felony.
Must pass a criminal background check.
High school diploma or GED required.
Certificates and Licenses:
Must obtain TLETS less than full access certification within one year of employment.
