Job Description
Job Summary The Town of Rockingham and Bellows Falls Village Corporation are seeking a highly organized, customer-focused, and professional Executive Assistant to support both the Municipal Manager and Finance Director. This unique position serves as a key member of our administrative team, helping ensure the efficient operation of municipal government while providing exceptional service to residents, elected officials, employees, vendors, and community partners. As one of the first points of contact for Town Hall, the successful candidate will demonstrate outstanding communication skills, exceptional discretion, strong organizational abilities, and a commitment to providing responsive and courteous public service. Duties The Executive Assistant provides executive-level administrative support to the Municipal Manager and Finance Director while coordinating communications, maintaining official municipal records, supporting Selectboard and Village Trustee meetings, managing calendars and public information, and assisting with website updates and community communications. This position also supports the Finance Department through payroll processing, financial reporting, workers' compensation payroll administration, tax and utility billing support, and other accounting functions. Success in this role requires the ability to manage multiple priorities, maintain strict confidentiality, exercise sound judgment, and work collaboratively across all municipal departments. Skills Proven experience as an executive assistant in a fast-paced environment. Exceptional organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously. Proficient with bookkeeping and payroll services, financial reporting, data entry, filing systems, verbal communication, tax and utility billing support, and customer service excellence. Strong proficiency in Microsoft Office (Word, Excel, PowerPoint), productivity software, and video conferencing tools such as Zoom or Microsoft Teams. Excellent written and verbal communication skills with attention to detail. Demonstrated ability to handle confidential information discreetly with high ethical standards. Minimum Qualifications Associate's Degree in Business Administration, Accounting, Public Administration, or a related field preferred; Five years of progressively responsible administrative, executive support, accounting, or related experience preferred; or Any equivalent combination of education, training, and experience that demonstrates the required knowledge, skills, and abilities.
