Job Description

Mighty Dog Roofing is looking for an Office Manager to handle inbound calls for the company, keep the office organized, handle light spreadsheet work, and support the owners with some of their administrative tasks. We need somebody who is exceptionally organized, highly detail-oriented, and uncomfortable leaving things unfinished. We are looking for the person who notices that the inventory count says 14 tablets but only 13 are physically accounted for — and keeps digging until they know where the 14th one is. The person who sees that an invoice was supposed to be credited last week and follows up without being reminded. The person who notices that a form is missing a signature, a new hire still cannot access one of their systems, or a supply level is getting low before it becomes somebody else's emergency. If you naturally keep track of details, verify that things were actually completed, and prefer clear systems over assumptions, this may be a very good fit. What You'll Own You will help keep the administrative side of the business accurate, organized, and moving.
Responsibilities include:
Answering incoming customer calls and ensuring follow-up is completed Maintaining complete and accurate notes Coordinating new-hire paperwork, system access, equipment, apparel, and onboarding activities Tracking tablets, phones, tools, apparel, marketing materials, and other company assets Maintaining accurate records of who has company equipment and when it is returned Performing periodic inventory counts and resolving discrepancies Monitoring office supplies and initiating reorders before items run out Keeping storage rooms, paperwork, brochures, samples, and common areas organized Calling vendors to follow up on orders, invoices, credits, documentation, repairs, and unresolved issues Paying approved vendor bills, depositing checks, organizing receipts, and assisting with basic spreadsheets Coordinating office maintenance and outside service providers Running occasional local errands for supplies, printing, deposits, or equipment Helping the owner maintain task lists, deadlines, paperwork, reminders, and follow-up items Tracking tasks assigned both by the owner and to the owner Assisting the owner with personal administrative matters such as appointment setting and calendar support, making phone calls, and completing paperwork You May Be a Great Fit If… You like knowing exactly where things stand. You notice inconsistencies. You catch missing information. You remember that someone promised an answer Tuesday and follow up Wednesday morning when it never arrived. You don't consider a task finished because an email was sent. You consider it finished when the issue is resolved. You would rather have a spreadsheet that says exactly who has each piece of company equipment than a general idea that "the sales team probably has it." If there are 25 items on a checklist, you want all 25 completed — not 23 completed and two forgotten. And if the owner says, "Make sure I do this Friday," you are comfortable reminding him Friday and continuing to follow up until it is done. What We're Looking For Exceptional attention to detail Strong organization and follow-through A habit of checking work for completeness and accuracy Ability to manage many small tasks without losing track of them Comfort creating and maintaining lists, spreadsheets, records, and checklists Professional and confident communication skills Persistence when waiting on customers, employees, vendors, or outside organizations Comfort using spreadsheets, email, CRM systems, and other business software Comfort handling invoices, checks, receipts, and routine financial paperwork Ability to work independently and recognize what needs attention without constant instruction, and yet aware enough to escalate issues when they need it Ability to handle confidential company and personal information appropriately Prior office management, administrative, bookkeeping-support, or customer-service experience preferred Valid driver's license and reliable transportation What Success Looks Like Success in this role is not simply being busy. It means the details are right . Equipment records match reality. New-hire checklists are complete. Customer notes are accurate. Paperwork has the required information and signatures. Invoices and credits are followed through to resolution. Supplies are reordered before they become urgent. Outstanding tasks have an owner and a next step. The office stays organized, and when someone asks, "What happened with that?" , you can give them a specific answer. We want someone who takes genuine satisfaction in turning: "I think that's handled." into: "Yes. It's complete, documented, and here's where it stands."
