Job Description
Overview The Office Administrator is responsible for supporting the daily operations of Immaculate Finish by providing exceptional customer service, maintaining accurate administrative records, and ensuring efficient office organization. This role manages customer communications, creates and maintains work orders in ServiceTrade, assists with invoicing, payroll preparation, scheduling support, and document management while serving as a key communication link between customers and field personnel. The Office Administrator will receive ongoing training in scheduling, dispatch, routing, and growth planning, and ServiceTrade management, with the opportunity to gradually assume greater operational responsibilities as experience and competency increase. This position plays a critical role in maintaining an organized, efficient office while supporting company growth and delivering exceptional service to both customers and employees. Responsibilities Manage front desk duties including invoicing , answering phone calls, and directing calls with professional phone etiquette Oversee office management tasks such as filing, data entry, maintaining supplies, and organizing documents using productivity software like Microsoft Office and other software. Handle calendar management and scheduling for meetings, appointments, and events to optimize time efficiency Support bookkeeping activities including basic bookkeeping tasks and record keeping using QuickBooks or similar accounting software. Assist with client communication by providing excellent customer service via phone, email, or in person Coordinate office logistics such as organizing files, preparing correspondence, proofreading documents, and ensuring office equipment functions properly Support team members with administrative tasks including typing, word processing, spreadsheet management, and technical proficiency in various software tools Experience Proven experience in office administration or clerical roles with a strong background in office management and customer support Demonstrated proficiency with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools (Docs, Sheets), and productivity software Experience handling company phone calls and managing front desk responsibilities in a professional setting Familiarity with QuickBooks or other bookkeeping software is preferred Bilingual abilities are a plus to effectively communicate with diverse clients and team members Strong organizational skills with the ability to prioritize tasks efficiently while maintaining attention to detail Excellent communication skills—both verbal and written—and professional phone etiquette are essential. Preferred (Not Required): Associate's or Bachelor's degree in: Business Administration Office Administration Management Accounting Human Resources Communications OR Equivalent combination of education and relevant work experience.
