Music Junction supports its students of all ages from 4 years old to adults , as they learn to express themselves or expand their abilities through private one-on-one music lessons! 2 years or more of admin experience is required. Candidates must be able to handle high volumes of varying tasks coming in all at once, and still be able to focus on completing regular daily tasks. Skills include self-management, impeccable organization, naturally accommodating to people's needs, and contributive to a smooth, friendly, supportive experience for our young students and families. The position requires working from the main desk in the lobby of our school, greeting people, answering phones, handling rescheduling, data entry, processing registrations, sales conversations, cleaning regularly, and assisting the managers and owners with other tasks. Hours:
Approximately 30hrs, 4-5 days/week; combination of weekday and weekend shifts (in and out times vary)

  • Works well with several software platforms open at once, jumping from one to another and able to stay focused (Google Sheets, Google Docs, Google Calendar, FreshDesk CRM Software, Student Scheduling and Billing Software, Dropbox, FreshCaller, FreshDesk, etc)
  • Exceptional and fast computer skills and typing skills (50 wpm or more).

  • Available to commit Long-Term (2+ years)
  • Intermediate to Advanced Knowledge of Google Docs/Sheets Word/Excel
  • High aptitude for working with computers, can navigate computer programs quickly
  • Tidy, cleanly person who is also willing to clean areas of the school on a regular, ongoing basis
  • Enjoy working with social media and creating posts
  • Experience working with children is a plus
  • Completed some professional personal development training courses at Landmark Worldwide or similar training is a plus.
Equipment:
  • Have a reliable, personal cell-phone for calling/texting students or fellow team members, and taking photos/video for internal or social media purposes (Required)
  • Have your own hi-speed and reliable laptop with a good processor that can process and handle many various cloud software platforms simultaneously such as Google Sheets, Google Docs, Google Calendar, FreshDesk Customer Service Management Software, FreshCaller, TeacherZone Student Scheduling and Billing Software, Task Management Apps, DropBox and others.
Your computer will not be used for any storage of any files or documents. All software used is cloud-based.
Job Duties:
  • Providing Customer Service for students coming in and out of the school facility.
  • Handling sales conversations with new students and tracking leads in a CRM.
  • Managing student rescheduling requests and updating their student account and calendar.
  • Setting up confirmed new students in our system and sending them details about their lessons
  • Has skill, initiative and determination to manage tasks to their full completion
  • Answering student questions regarding their account, teacher, or school policies.
  • Being familiar with school policies, using new student scripts or customer service scripts where provided, and utilizing template emails, for consistent and professional contact
  • Resolve any administrative problems by analyzing information; identifying and communicating solutions.
  • General admin duties including faxing, scanning in student documents for our records, taking lesson book inventory and placing lesson book orders, creating forms or worksheets, assembling folder packets, etc.
  • Various Daily and Weekly Cleaning Tasks to contribute to the best student experience and support the team (dusting surfaces, wiping down pianos and table tops, organizing desks, cleaning windows inside and out, vacuuming carpets, mopping laminate floors and bathroom floors, cleaning toilets, cleaning sinks, cleaning mirrors, tidying teaching rooms and lobby, straightening chairs, making things look neat and uncluttered, stacking books, pushing in benches, closing up pianos, paying attention to details)•Arranging guest teachers (substitutes) for when a teacher is absent.
  • Provide administrative orientation and training to new staff.
  • Supporting and taking direction from our Lead Admin Coordinators in their tasks as needed
  • Posting on the school Social Media pages; taking video or photos of classes for posting.
