Office Manager / Executive Assistant to the CEO Campbell, CA

• Full-time, on-site, 5 days per week About the role We're a rapidly growing team in Campbell, and we're hiring the person who makes the office actually work. That means the practical stuff — the snacks are stocked, the printer works, the conference room is ready before the meeting starts — and it also means being the CEO's right hand on calendar and logistics. This is a two-sided job. About 60% of it is running the office and keeping the team's day-to-day friction low. The other 40% is executive support: owning the CEO's calendar, protecting his time, and making sure nothing falls through the cracks. If you like variety and you're the kind of person who notices the coffee is running low before anyone complains, you'll do well here. What you'll do Run the office Keep snacks, drinks, and supplies stocked without anyone having to ask Manage vendors and building contacts — cleaning, IT, repairs, deliveries, whatever comes up Own the physical space: meeting rooms set up, common areas presentable, new-hire desks ready on day one Greet visitors and candidates and make them feel like someone was expecting them Plan team lunches, offsites, and the occasional celebration Support the CEO Own his calendar: schedule meetings, resolve conflicts, build in travel and buffer time, and push back when the day doesn't make sense Coordinate travel — flights, hotels, ground transport, itineraries Prep for meetings: agendas, materials, and the reminder about what's coming next Track follow-ups and loose ends so commitments don't get dropped Handle expenses and reimbursements, coordinating with the CFO Keep things organized Maintain files, records, and trackers so information is findable Take on projects as the company grows — the shape of this role will change What we're looking for 2+ years in office management, executive assistance, or a similar operations role Genuinely organized. You keep your own systems and you don't need reminders to follow up. Comfortable with calendars, email, spreadsheets, and docs (Google Workspace and/or Microsoft 365) Clear, direct communicator — with the team, with vendors, and with people outside the company Good judgment about priorities. When three things land at once, you know which one matters. Discreet. You'll see confidential information and you'll handle it well. Willing to do the unglamorous parts. Some days this job is a Costco run.

Nice to have:
