This vital role ensures the smooth and efficient operation of our office environment, providing exceptional support to staff, clients, and visitors alike. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to handle a variety of administrative tasks with enthusiasm and professionalism. Your energy and organizational prowess will help foster a productive workplace where everyone can thrive. Duties Manage front desk operations, greeting visitors and directing them appropriately with courteous phone etiquette Oversee multi-line phone systems, efficiently handling incoming calls and routing messages promptly Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office Coordinate calendar management, scheduling meetings, appointments, and ensuring timely reminders for staff and clients Handle clerical tasks including word processing, document preparation, and maintaining office supplies inventory Support office management activities by organizing files, managing correspondence, and assisting with special projects as needed Provide exceptional customer service by addressing inquiries via phone or email and supporting client communication efforts Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency Experience with QuickBooks or similar accounting software for basic financial record-keeping Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Strong time management skills to prioritize tasks effectively and meet deadlines consistently Bilingual abilities are highly desirable to assist diverse client needs and facilitate effective communication Demonstrated experience in office management, clerical support, or administrative roles with a focus on customer support and front desk operations Knowledge of multi-line phone systems, data entry procedures, filing systems, and calendar management techniques Join us to be a key contributor in creating an organized, welcoming office environment where productivity flourishes!
