The Assistant Office Manager supports the day‑to‑day operations of the office by ensuring a safe, organized, and efficient workplace. This role works closely with the Office Manager and cross‑functional teams to coordinate facilities, vendors, visitors, and administrative processes while delivering a high level of service to employees and external partners. Fluency in Mandarin is required to support communication with internal and external stakeholders.Essential Duties and Responsibilities:
Support daily office operations to ensure a smooth, organized, and professional work environment Coordinate facilities and office services, including maintenance requests, repairs, cleaning, equipment, and office supplies Partner with vendors, landlords, and service providers to resolve office‑related issues and support ongoing operations Manage meeting logistics, including room setup, scheduling, catering, and conference room technology support Serve as a point of contact for employees, visitors, and external partners, ensuring a positive and professional experience Support visitor management processes, including access coordination and adherence to office policies Assist with mail and package handling, distribution, and record tracking Maintain accurate logs, trackers, and documentation related to office operations, facilities, access, or inventory Support expense processing, invoices, and basic operational or administrative finance tasks, as assigned Assist the Office Manager with special projects, audits, inspections, or operational initiatives Ensure compliance with internal office policies, safety procedures, and workplace guidelines Coordinate corporate apartment operations. Support planning and execution of internal corporate events, meetings, and employee engagement activities. Oversee and maintain technology and office systems, coordinating basic troubleshooting as needed.Minimum Requirements:
Minimum 2+ years of experience in office administration, office operations, customer service, or a similar support role Demonstrated experience supporting day‑to‑day office, facilities, or operations functions Experience coordinating vendors, service providers, or property‑related services Proficiency with Microsoft 365 tools (Outlook, Teams, Excel, Word, PowerPoint) Background in event coordination or employee engagement activities is a plus. Exposure to expense processing, invoices, or operational finance tasks is a plusEducation or Desired License and Certificates:
A minimum of a bachelor's degree from accredited university or college is required Competencies Strong organizational, communication, and problem‑solving skills Ability to manage multiple priorities and meet deadlines in a fast‑paced environment Ability to work independently while also collaborating as part of a team Travel 10%Work Location and Status:
