Role:
We are seeking an initiative-taking, highly organized, professional, Office Administrator to serve as the face of our company and the operational backbone of our team. You will manage daily office rhythms, from visitor hospitality and facility coordination to administrative and technical support, ensuring a seamless, welcoming, and efficient environment for everyone.
Schedule:
Monday to Friday 8:00 am to 4:30 pm or 7:30 am to 4:00 pm

Do:
  • Greeting and welcome visitors at the front desk with warmth and professionalism.
  • Operate a telephone system, screen and forwarding incoming phone calls.
  • Manage the access control to building, ID card processing.
  • Sort and distribute mail. Prepare outgoing mail, weighing, calculating postage and renew postage meter as required (FedEx, UPS, and USPS)
  • Manage schedule for multiple conference rooms.
  • Coordinate staff meetings, facilities, and catering.
  • Plan and coordinate company events.
  • Assist with the planning of new offices set up and grand opening events.
  • Manage inventory of office supplies, equipment, stationery, cleaning supplies, food, snacks, and drinks.
  • Provide administrative support for the office staff and field employees.
  • Support team to process expense reports using the internal expense system.
  • Travel arrangements as needed (Hotel, Airfare, and Transportation)
  • Resolve organization travel related technical conflicts as needed.
  • Provide clerical support filing, scanning, copying, and related tasks.
  • Maintain a safe and secure working environment, the reception area, training room, conference rooms by complying with procedures, rules, and regulations.
  • Track and assist with the distribution of Certificates of Insurance
  • Remote deposit and track all incoming checks for Accounts Receivable Team
  • Assist with company equipment inventory, reach out to vendors to get quotes, fill out PO requisitions for new orders, receive, inspect, label, and track new equipment.
  • Assist as System Admin for systems, add or remove users as needed.
  • Assist with the setting up of zoom conference rooms in collaboration with D&T.
  • Perform other tasks as directed by Manager and Executive Team.
What You will
Need:
  • High School Diploma or GED with 2-3 years of job-related experience.
  • An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
  • Requires intermediate critical thinking skills with the capacity to review and select solutions from available options without supervisory approval.
  • Ability to explain detailed and complicated information within the team clearly and concisely.
  • Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with a robust inquisitive mindset.
  • General math skills.
Ability to calculate advanced figures such as percentages, discounts, and markups. or complicated information within the team.
Pay:
Up to $32.00 per hour
