Job Description
About the Role We are seeking an experienced, proactive, and highly organized Office & Operations Manager to oversee the daily operations of our U.S. office. This role is responsible for office administration, HR operations, finance support, insurance administration, inventory management, and cross-functional coordination with our global headquarters. The ideal candidate is bilingual in English and Mandarin, has strong administrative and financial knowledge, is comfortable supporting HR operations, and is willing to collaborate with teams across different time zones. Key Responsibilities Office Administration Manage the day-to-day operations of the U.S. office to ensure a professional, efficient, and productive workplace. Coordinate office facilities, vendors, office supplies, equipment, and maintenance. Organize meetings, company events, travel arrangements, and visitor reception. Maintain office policies, records, and administrative documentation. Finance & Accounting Support Process invoices, expense reimbursements, and vendor payments. Support Accounts Payable (AP) and Accounts Receivable (AR) activities. Coordinate payroll processing with external payroll providers. Administer employee benefits and insurance programs, including medical, dental, vision, workers' compensation, and other business insurance. Support budgeting, expense tracking, financial reporting, and monthly close activities. Coordinate with external CPA firms, accounting firms, auditors, and tax advisors. Maintain accurate financial documentation and records. Human Resources Operations Manage employee onboarding and offboarding processes. Prepare employment documents and maintain employee personnel files. Coordinate new hire orientation and equipment allocation. Handle employee relations matters and provide day-to-day HR support. Coordinate with headquarters on HR policies, employment documentation, and compliance. Assist with employee engagement activities and office culture initiatives. Inventory & Asset Management Manage office inventory and company assets. Track inventory levels for office equipment, marketing materials, and product samples. Coordinate shipping, receiving, warehouse logistics, and inventory records. Support inventory reconciliation and asset tracking. Operations & Cross-functional Support Coordinate with headquarters in China on finance, HR, operations, and administrative matters. Liaise with external vendors, insurance brokers, payroll providers, legal counsel, landlords, and government agencies. Support local compliance, business licenses, insurance renewals, and operational documentation. Assist executives with administrative and operational projects. Provide support outside normal business hours when necessary to accommodate collaboration across global time zones. Qualifications Required Bachelor's degree or equivalent professional experience. 5+ years of experience in Office Management, Operations, Administration, HR Operations, or a similar role. Hands-on experience supporting payroll administration. Experience managing employee benefits and insurance programs. Experience handling employee onboarding, offboarding, and employee relations. Experience with inventory, warehouse coordination, or asset management. Strong organizational and project management skills. Excellent problem-solving abilities with strong attention to detail. Ability to work independently and manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office Suite, Google Workspace, and ERP/financial systems. Fluent in both English and Mandarin Chinese (written and spoken). Willingness to work flexible hours when needed to support global teams across different time zones. Preferred Experience supporting Accounting or Finance functions. Knowledge of U.S. payroll, employment practices, and employee benefits administration. Experience working in an international or multinational company. Familiarity with ERP systems such as NetSuite, QuickBooks, Oracle, SAP, or similar platforms. Experience working with external CPA firms and payroll providers. CPA certification (Certified Public Accountant) is highly preferred. Experience in technology, IoT, SaaS, or consumer electronics industries is a plus.
