GIE Dental Lab is a family-owned, NADL-certified full-service dental laboratory based in Glendale, CA. We work directly with dental offices to produce high-quality restorative and implant cases.
Job Summary:
We're looking for an organized, detail-oriented Case Coordinator to manage the daily flow of communication, case tracking, and billing between our lab and the dental offices we serve. This is a central role in our operation, you'll be the main point of contact keeping cases on schedule and our accounts accurate.
Responsibilities:
Client Communication & Case Follow-Up Answer phones and serve as the primary contact for dental offices Call offices to confirm patient appointment dates and collect missing information (shade selection, photos, etc.) Monitor upcoming case due dates and flag cases approaching deadline Notify lab staff when a case is rush and needs to ship same-day or next-day to arrive on time Place notes/markers on case pans for cases needing special attention Case Entry & Tracking Enter new incoming cases into the system, including case ID, due date, and relevant details Maintain accurate, up-to-date case records throughout the production cycle Billing & Invoicing Prepare and send invoices for completed cases Perform month-end close, reconciling invoices against dental office statements Open mail and post incoming checks/payments Shipping & Logistics Prepare shipping labels for outgoing cases Coordinate timing so rush cases reach dental offices by the required date Purchasing Call suppliers to place orders for materials and implant parts as needed
Qualifications:
Prior experience in a dental office, dental lab, or medical administrative role preferred Comfortable on the phone and confident communicating with clients Strong attention to detail, especially around dates and data entry Basic bookkeeping or invoice reconciliation experience a plus Organized and able to juggle multiple priorities/deadlines at once Proficient with standard office software (email, spreadsheets, practice/lab management systems) Schedule /
