Overview We are seeking a dynamic and highly organized Office Administrator to join our team! Construction and or resoration expereince required. In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly, efficiently, and professionally. Duties Manage front desk responsibilities including answering multi-line phone systems, and directing calls with professionalism and courtesy Handle calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace Perform data entry tasks with accuracy using spreadsheets and word processing tools; maintain organized filing systems both digitally and physically Assist with bookkeeping duties utilizing QuickBooks or similar accounting software to support billing, invoicing, and expense tracking Provide excellent customer support by addressing inquiries promptly via phone or email, ensuring client communication is clear and professional Support office management functions such as ordering supplies, maintaining office equipment, and overseeing general administrative tasks Proofread documents for accuracy and clarity while ensuring adherence to company standards; manage document version control Requirements Proven experience in office administration or clerical roles with a strong background in office management and customer service Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and productivity software; strong computer literacy overall Familiarity with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong phone etiquette skills with experience managing multi-line phone systems; bilingual abilities are a plus for diverse client interactions Demonstrated ability to handle data entry accurately while maintaining attention to detail; experience in proofreading is beneficial Previous experience as a receptionist or personal assistant is advantageous; familiarity with contruction and resoration prefered Ability to manage calendars efficiently, coordinate meetings seamlessly, and support overall office operations with professionalism Join us as an Office Administrator where your organizational talents will make a meaningful impact!
