In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functioning and exceptional support for staff, clients, and visitors. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. Whether managing schedules, overseeing clerical tasks, or providing top-notch support, your contribution will be essential to our success. Duties Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Coordinate calendar management and schedule/confirm appointments for staff members using Google Calendar. Data Entry Assist Accounting with basic administrative tasks and customer payment collection. Provide excellent customer support by addressing inquiries via phone or email and assisting with administrative needs across departments. Skills/ Qualifications 1-2 years of experience in office management or administrative roles with strong organizational skills. (HVAC & Construction background preferred) Proficiency in Microsoft Office (Word, Excel) and Google Workspace applications. Strong typing skills combined with meticulous proofreading abilities for document accuracy. Bilingual capabilities are highly valued to communicate effectively with diverse clients. Exceptional time management skills to prioritize tasks efficiently in a busy environment while maintaining professionalism at all times.
