Job Description

Job Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our office environment. This pivotal role involves overseeing administrative functions, managing vendor relationships, coordinating events, and supervising staff to ensure a smooth and efficient workplace. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to office management, fostering a positive and productive atmosphere for all team members. This paid position offers an exciting opportunity to shape our office culture and streamline administrative processes. Duties Oversee daily office operations, ensuring all administrative tasks are completed efficiently and accurately Manage scheduling and calendar coordination for leadership and team activities Supervise administrative staff, including front desk personnel, clerical assistants, and support teams Coordinate vendor management activities, including contract negotiations and service evaluations Plan and execute company events, meetings, and training sessions to promote team engagement Maintain accurate bookkeeping records using QuickBooks or similar accounting software Handle human resources functions such as onboarding, employee records management, payroll processing, and compliance Oversee office budgeting, expense tracking, and procurement processes to optimize resource allocation Manage filing systems, document organization, and record retention in accordance with company policies Ensure effective communication across departments via multi-line phone systems and email platforms Support medical or specialized office management tasks if applicable, including patient or client scheduling Skills Proven experience in office management or administrative roles with supervisory responsibilities Strong organizational skills with the ability to multitask effectively in a fast-paced environment Excellent communication skills—both verbal and written—with professional phone etiquette Proficiency in QuickBooks for bookkeeping and payroll processing Experience with event planning and vendor management to coordinate external services smoothly Knowledge of human resources practices including training & development programs Skilled in schedule management, calendar coordination, and front desk operations Familiarity with office software tools such as Microsoft Office Suite or Google Workspace Ability to manage budgets accurately while maintaining attention to detail in bookkeeping tasks Experience in medical office management or specialized administrative environments is a plus Demonstrated team management skills with the ability to train staff effectively and foster a collaborative workplace This role is essential for maintaining an organized, welcoming, and efficient office environment.
