Responsibilities Manage front desk operations, including greeting visitors, handling inquiries, and directing phone calls using multi-line phone systems with professionalism and courtesy. Oversee office management duties such as maintaining supplies, organizing filing systems, and ensuring the workspace remains tidy and functional. Utilize productivity software like Microsoft Office (Word, Excel, Outlook) to prepare reports, spreadsheets, correspondence, and presentations. Perform data entry tasks accurately into spreadsheets and databases while maintaining high levels of data integrity. Coordinate calendar management and schedule appointments or meetings efficiently using calendar management tools. Provide excellent customer service by addressing client inquiries promptly and professionally via phone or email. Support clerical functions including filing, document processing, and ensuring all administrative procedures are followed seamlessly. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency. Experience with QuickBooks or similar accounting software is a plus for managing financial records. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Strong phone communication skills with proper phone etiquette for handling multi-line phone systems. Bilingual abilities are highly desirable to assist diverse client needs and enhance communication. Demonstrated office management experience combined with clerical expertise in data entry, filing, and document processing. Exceptional time management skills to prioritize tasks efficiently while maintaining accuracy in all responsibilities. Previous experience as a personal assistant or in an administrative role that involved calendar management and client communication is advantageous.
