Job Description

Our client is seeking a highly organized and proactive Office Administrator to support day-to-day operations and ensure the office runs efficiently. This individual will serve as a central point of coordination across teams, helping manage administrative functions, streamline processes, and provide a high level of internal and external support.
Key Responsibilities:
Oversee daily office operations and maintain a professional, organized work environment Act as the first point of contact for incoming calls, emails, and visitors Coordinate calendars, meetings, and conference room scheduling Manage office supplies, vendor relationships, and service requests Support administrative functions including data entry, document management, and filing Assist with onboarding coordination, including preparing materials and scheduling Handle a high volume of incoming requests and prioritize tasks effectively Partner with internal teams to support ongoing projects and operational needs Assist with reporting, tracking, and process improvement initiatives Ensure a high level of accuracy, organization, and attention to detail across all tasks
Qualifications:
2+ years of administrative or office support experience Strong organizational skills with the ability to multitask in a fast-paced environment Excellent communication skills, both written and verbal Proficiency in Microsoft Office (Excel, Outlook, Word) Professional, reliable, and detail-oriented Ability to work both independently and collaboratively
Preferred Qualifications:
Experience supporting multiple departments or leadership teams Prior experience with vendor coordination or office management responsibilities Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
