Job Description

Job Summary We are seeking a highly organized and proactive HR & Office Administration Assistant to support the daily operations of our HR, payroll, office, and administrative functions. This versatile role involves maintaining schedules, assisting with payroll and HR processes, managing accounts receivable, and ensuring smooth office operations in a fast-paced environment. The ideal candidate is detail-oriented, tech-savvy (especially with QuickBooks), and thrives under pressure while juggling multiple responsibilities.
Key Responsibilities Scheduling :
Maintain and update daily schedules.
Payroll & Timekeeping Support :
Payroll processing, including timekeeping system management, verifying hours, handling adjustments, and ensuring accurate and timely payroll runs.
HR Administration :
Support HR needs such as onboarding/offboarding processes, employee record maintenance, compliance with employment policies, and responding to basic employee inquiries.
Accounts Receivable :
Manage accounts receivable activities, including invoicing, payment tracking, collections follow-up, reconciliations, and resolving billing discrepancies.
General Administrative Duties :
Handle correspondence, prepare reports, maintain organized filing systems (physical and digital), and provide backup support to other team members as needed.
Qualifications & Requirements Experience :
2+ years of experience in administrative, HR, payroll, or office management roles. Previous experience in a similar multi-functional support position is strongly preferred.
Technical Skills :
Proficient in QuickBooks (required). Experience with timekeeping and scheduling software/systems. Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Key Competencies :
Excellent organizational and multitasking abilities. High attention to detail and accuracy, especially with financial and personnel records. Strong written and verbal communication skills. Perform other duties as assigned in a dynamic, fast-paced work environment. Ability to maintain confidentiality and handle sensitive information. Proven ability to work efficiently and independently in a fast-paced environment with shifting priorities.
Pay:
$30.00 - $40.00 per hour
