Job Description

Office Administrator/Transaction Coordinator Compensation:
$21.00-$23.00 per hour, plus a per-transaction closing bonus. Full Realty Services, Inc. dba Century 21
Masters Position Overview:
The Transaction Coordinator (TC) plays a dual role in supporting real estate transactions and serving as the first point of contact at the office. This position ensures that all real estate transaction files are accurate and complete while providing front desk and administrative support to the office. The Transaction Coordinator works closely with agents, the Compliance Department, and affiliated business partners to streamline processes, maintain compliance, and provide exceptional customer service.
Key Responsibilities:
Transaction Management:
Manage real estate transaction files from contract to close, ensuring all required documents are accurate and complete in accordance with the company's compliance checklist. Submit transaction files into Skyslope, maintain file accuracy, and address any missing or incomplete documentation. Coordinate with agents, Compliance Specialists, and other team members to ensure smooth and timely transaction processing. Communicate with escrow, lenders, and other parties involved in the transaction to track progress and ensure timely completion of tasks.
Compliance Support:
Stay up to date on California Association of Realtors (CAR) forms and compliance requirements. Ensure transaction files meet company policies and legal standards. Assist agents in understanding and adhering to compliance requirements.
Administrative and Front Desk Responsibilities:
Serve as the first point of contact at the office, greeting visitors, answering phones, and managing general inquiries. Perform general administrative duties, including filing, scanning, data entry, and maintaining office supplies. Support office events, training sessions, and meetings by managing logistics and ensuring smooth operations. Handle mail and package deliveries, ensuring accurate distribution.
Customer Service:
Provide exceptional customer service to agents, clients, and visitors by addressing questions and concerns in a timely and professional manner. Act as a liaison between agents, clients, and internal departments to facilitate communication and resolve issues.
